Responsibilities
- Open and close cases including obtaining signed contracts and authorizations from clients, gathering case details, requesting final invoices, circulating closing documents.
- Prepare and send legal and administrative correspondence, including communications with clients.
- Format, finalize, and proofread all work products from attorneys provided via dictation, hard copy, or email.
- Make travel arrangements for attorneys as needed.
- Receive and manage incoming phone calls, voicemails, and emails.
- Receive and manage incoming mail and service documents, handling or routing appropriately.
- Order and save investigation reports and/or medical records for cases.
- Transcribe all dictation in a timely manner.
- Maintain attorneys calendar for SOLs, reminders, rulings, appointments, depositions, and verify coverage; coordinate with master calendar clerk.
- Create, maintain, and organize hard and electronic files.
- Save incoming documents, transcripts, reports to appropriate folders and route accordingly.
- Prepare and file Complaints at the appropriate court, serve defendants, and file POS.
- Save and forward discovery to attorney, paralegal, and clients upon receipt.
- Schedule Court Call, Zoom, or in-person appearances for cases.
- Coordinate and confirm deposition dates, arrange CSR, videographer, interpreter if needed.
- Contact courts to obtain motion hearing dates, verify local rules and special requirements.
- Type, gather documents, organize and execute filing of all motions and oppositions including tables of contents, authorities, exhibits.
- Draft, prepare, and file pleadings at proper courts in a timely manner.
- Prepare for trials including binders, exhibits, scheduling experts, MILs, CACI jury instructions.
- College degree preferred.
- 3-5+ years of litigation experience, plaintiff experience with personal injury, Mass Tort, and medical malpractice is a plus.
- Strong familiarity with Code of Civil Procedure rules and requirements.
- Knowledge of court filing requirements and experience with e-filing in state and federal court.
- Strong software skills including MS Office Suite and calendaring.
- Exceptional communication and attention to detail.
- Strong project and task management skills.
- Highly detail-oriented and able to manage multiple high-volume priorities in a fast-paced environment.
- Ability to work with diverse personalities at various levels of the organization.
- Well-developed interpersonal and client relation skills.
