Private Medical has spent the last 20 years creating a new category of concierge medicine — private medicine — by designing a system that honors the relationship between patients, physicians, and each member of the care team. Based in California, Florida and New York, our physician-led teams work with Gynecologists, Naturopathic Medicine Doctors, curated local specialists, elite medical centers, and specialists around the world to provide relationship focused, evidence-based, longitudinal care to our members and their families.

This is an outstanding opportunity for a highly motivated individual who can help carry out our mission of delivering coordinated, personalized care to our patients. As a Patient Care Administrator, your role goes beyond that of a traditional office assistant. You are responsible for standard administrative functions (scheduling, billing, patient communication, and EMR organization) and, as this is a growing practice, you must also continually think of ways to improve operations in support of exceptional care delivery.

You will consistently deliver concierge-level services for our patients and doctor teams, get to know our patients, properly organize and prioritize projects, and stay two steps ahead of any issues.

Responsibilities
  • Provide concierge services for patients, including assisting with prescriptions, patient interface with other offices and hospitals, appointments, follow-ups, tracking appointments, facilitating patient needs, and developing a sincere relationship
  • Respectful, responsive email and phone communication with both prospective and current patients
  • Warmly greet and help patients with check-in/out
  • Schedule appointments for physicians with corresponding reminders
  • Coordinate and track outside consults, tests, and imaging studies for patients
  • Obtain prior authorizations for prescriptions and diagnostic orders
  • Upload labs and other outside documentation into the Electronic Medical Record (EMR)
  • Answer and triage phone calls
Qualifications
  • Education:

    Bachelor's Degree preferred, preferably in a science or medically-related field
  • Experience:

    1 year of experience required, healthcare experience preferred
  • Advanced computer literacy, primarily with Apple computers, and comfort working in a paperless environment (EHR enabled)
  • Proven track record of extraordinary customer service
  • Excellent critical thinking and communication skills
  • Autonomous, responsible, and proactive – professional demeanor appropriate for a C-level executive assistant or luxury hotel reception
  • Enthusiastic and passionate about our mission
  • Tenacity to follow through and close the loop on quick and long-tail responsibilities
  • Excellent verbal and written communication skills
  • Exceptional ability to multi-task and self-prioritize with efficiency and high productivity
  • Adept with technology applications and services
