Hiring company is a registered investment adviser that manages a multi-strategy investment platform spanning venture capital, fund-of-funds, direct investments, and special purpose vehicles. The firm advises multiple private investment entities and partners with founders, fund managers, and investors across the technology and private markets ecosystem.

Position Description

The company is seeking a highly organized, detail-oriented Operations Associate to support the firm’s day-to-day operational, financial, and administrative workflows. This role is ideal for someone who thrives in a fast-paced environment, enjoys building and improving processes, and wants broad exposure across fund operations, accounting, investment support, and compliance.

Responsibilities
  • Fund Operations and Administration: Coordinate with fund administrators on fund closes, capital activity (capital calls, cash distributions, and distributions-in-kind), and required documentation; maintain accurate internal records and ensure alignment with LPAs and side letters.
  • Compliance and Controls: Support compliance calendar, filings, policy adherence, and vendor due diligence; assist with compliance filings and administrative requirements across entities; help maintain and improve internal control frameworks and documentation.
  • LP Services and Reporting: Prepare investor communications, data room materials, and quarterly reports; maintain investor master data (contacts, tax forms, wiring instructions, etc.); track side letter obligations; assist with responses to LP data requests, DDQs, and audits.
  • Track Fund-of-Funds Reporting: Monitor, organize, and maintain all reporting received from underlying fund managers (including quarterly reports, capital account statements, notices, and updates) and ensure information is accurately captured in internal trackers.
  • Portfolio Data and Insights: Maintain and update internal investment and entity performance trackers; maintain portfolio company metrics, cap tables, and valuations in internal tracker; coordinate information requests; support the accounting and investment teams with data hygiene and reporting.
  • Legal and Governance Support: Assist with entity formation and maintenance, signature management, and coordination with external parties.
  • Fundraising and Subscription Documents: Support fundraising processes, manage subscription document workflows and investor onboarding (e.g., KYC/AML), coordinate with fund administrators, track commitments and closings, and maintain data rooms.
  • Banking Relationships and Accounts: Manage banking and brokerage relationships, account openings, authorized signatories, and treasury platform access; ensure appropriate controls on payments and permissions. Download monthly statements from online counter party websites.
  • IT Vendor Management: Manage the firm’s IT managed service provider and ensure quality, timely resolution of IT service tickets; coordinate device provisioning, access management, onboarding, and offboarding.
  • Software and Vendor Contracts: Maintain the company’s inventory of subscriptions and vendor contracts; coordinate renewals and work with team members on usage, access, and cost optimization.
  • Special Projects (as needed): Handle ad hoc operational, accounting, and investment-support projects; lead cross-functional operational initiatives to improve efficiency, implement new tools, and refine playbooks as the firm scales.
Experience
  • BA/BS from a top-tier university with strong academic performance.
  • 0–2 years of experience in operations, finance, accounting, consulting, or related roles (internships acceptable).
Qualifications
  • Exceptional organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Strong proficiency in Excel, Word, and PowerPoint; comfort learning new systems.
  • High integrity, sound judgment, and ability to maintain confidentiality.
  • Proactive, resourceful, and able to manage multiple priorities independently.
  • Team-oriented, collaborative, and eager to support colleagues across functions.
