Responsibilities- Lead the planning, coordination, and execution of diverse onsite events, ensuring a seamless and positive experience for all attendees.
- Collaborate closely with internal teams to thoroughly understand event requirements and objectives, translating them into actionable plans.
- Serve as the primary facilities host during events, warmly welcoming guests and ensuring their comfort and satisfaction.
- Oversee the efficient setup and breakdown of event spaces, coordinating with relevant teams for all logistical needs and follow-ups.
- Provide comprehensive administrative support for all pre-event planning activities and post-event wrap-up procedures.
- Actively manage vendor relationships, collaborating with suppliers to secure essential resources such as furniture, catering, and supplies, ensuring timely delivery and high-quality services.
- Maintain clear and consistent communication with internal teams, vendors, and stakeholders throughout the entire event planning and execution process.
- Proactively address any issues or challenges that may arise during events, demonstrating quick and effective problem-solving skills.
- Exercise excellent judgment in making critical onsite event decisions and effectively escalating issues when necessary.
- Work effectively with cross-functional teams, including workplace management, security, and technical support, to ensure successful event execution.
- 5+ years of relevant experience in events coordination and/or office management.
- Demonstrated experience in managing event organizers, service providers, and facilities vendors.
- Proven ability to collaborate effectively with diverse groups, including internal coordinators, security teams, visitors, leadership, and executive assistants.
- Strong customer service orientation, coupled with excellent written and verbal communication skills.
- Ability to expertly balance multiple priorities, seamlessly shift between tasks, and maintain composure and responsiveness in dynamic environments.
- Proven capacity to exercise sound judgment and make effective decisions as needed.
- Working knowledge of events and crowd safety standards.
- A genuine passion for cultivating welcoming, community-oriented workplace environments.
- A collaborative mindset with the ability to work effectively across various teams and functions.
