Overview

Dental Treatment Coordinator
- Full-Time
- San Francisco, CA

Must have dental front office experience - bilingual English/Spanish. We are seeking a dedicated and organized Dental Treatment Coordinator to join our Orthodontic Team. The ideal candidate will play a crucial role in ensuring a smooth patient experience from initial contact through dental treatment completion. This position requires strong dental service skills, attention to detail, and the ability to manage multiple tasks in a fast-paced dental office environment.

Essential Duties and Responsibilities
  • Personal confirmation of all exam, observation, and recall patients
  • New patient appointments to maintain a full productive exam schedule every day
  • At confirmation call, remind patients to fill out paperwork to ensure the patient is seen in a timely manner
  • Support of the office, doctor, and team members
  • Discussion of treatment plan with patients/parents
  • Documentation of diagnostic findings, detailed treatment recommendations and any other pertinent information discussed during the initial consultation by the doctor or treatment coordinator
  • Schedule contracts, records and any follow up appointments in Practice Management System
  • Maintain and utilize recall system
  • Maintain start conversion percentage goal of 65% per month
  • Enter/print/mail patient letters to patients and doctors
  • Pre-write/print new patient exam letters to doctors and extraction/prescription letters for doctors to review and sign
  • Follow up on exam patients with at least 3 contacts post-exam documenting pending cases
  • Remind Doctors of any needed letters, x-ray readings, emails to referring doctors, etc. to finish the New Patient exam and enroll the patient into treatment
  • Prepare contracts and discuss financial arrangements; obtain responsible party signature
  • Explain risks and limitations and obtain patient signature
  • Enter treatment plan in chart/computer
  • Educate and discuss the dentist s treatment plan after diagnosis and review with the patient
  • Discuss dental benefits when applicable
  • Send pre-estimates and follow up with patient
  • Utilize technology in the office (e.g., digital photos, intraoral camera photos) when educating patients and discussing treatment
  • Monitor treatment plans and case acceptance
Education And/or Experience
  • Must have previous front office dental experience
  • Able to communicate with patients and their families in detail about orthodontic treatment
  • English and Spanish required
  • Knowledge in treatment case presentation
  • Able to make financial arrangements with case acceptance
  • Computer literate
