Overview
Action Property Management is seeking a 32 hour part-time Overnight Front Desk Associate for The Harrison, a luxury association located in San Francisco. Under the direction of the assigned supervisor, the Overnight Front Desk Associate is the first point of contact for people entering the lobby or calling the association. The role requires a professional appearance and polite, clear communication when answering telephones or addressing visitors.
Schedule: Friday, Saturday, Sunday, Monday; 10:00 PM – 6:30 AM
Compensation: $28.00 Per Hour
Responsibilities- Answer telephones or address people who enter the lobby or approach the Front Desk to politely answer questions, provide information, and assist in accordance with rules, regulations and policies; receive and respond to resident complaints in accordance with established procedures and policies or as appropriate; assist residents with issues or problems that do not require direct management involvement.
- Prioritize tasks at the desk with residents/owners, guests and vendors.
- Monitor activity in the Lobby and coordinate on-site personnel to address residents’ and guests’ needs; utilize Building Link to contact residents to announce guests and deliveries.
- Maintain the appearance of the Front Desk area and Lobby; ensure organization and cleanliness; summon janitorial or maintenance staff when needed; monitor and maintain back office and package room; periodically check hallways and elevators for debris.
- Assist residents with room reservation requests for the Association’s common area rooms.
- Note accurately any issues or information throughout the work shift in the pass-down log and read e-mails for information pertinent to Front Desk; communicate effectively with co-workers to assure a smooth shift transition.
- Provide basic concierge services including restaurant and taxi reservations, directions, and referrals; review and note information in the binder of local services for resident and guest use.
- Inform residents and guests of activities, events, and services that may be of use or interest.
- Utilize Building Link and/or Key Track to track and retain resident information including asset logs, parcel logs, key logs, guest sign-in, and amenity reservations.
- Coordinate deliveries to and from units; follow procedures to ensure residents receive parcels; document the acceptance of parcels or other deliveries by updating the package log; notify the resident when a parcel has been accepted on their behalf.
- Document disturbances, evaluate situations, and contact appropriate authorities (e.g., Police, Fire Department, Management) to resolve the problem.
- Coordinate moves in accordance with the Association’s approved hours; ensure Common Areas are adequately protected.
- Operate the Elevator Control System so guests, contractors and visitors are directed to the proper floor.
- Document the issuance of unit keys using Key Trak.
- Monitor and maintain inventory of forms, supplies, and lobby amenities; replenish items as needed; notify Supervisor when replenishment is required.
- Observe building activity via surveillance cameras and report suspicious or abnormal activities; prepare detailed incident documentation as appropriate.
- Report complaints and non-compliance issues to Management; address issues as appropriate and document details.
- Understand and implement Emergency Procedures; coordinate communications with residents and emergency personnel during emergencies like elevator entrapment, fire alarms, floods, earthquakes, etc.
- Follow all Post Instructions and adhere to Governing Documents, CC&Rs, and Rules and Regulations; comply with association policies, emergency procedures, and evacuation procedures.
- Perform other related Front Desk Associate tasks as assigned by management.
- Must be over 18 years of age and successfully pass a pre-employment background check and drug screening
- At least 1 year of customer service experience; hospitality, luxury retail or fine dining experience preferred
- Hospitality Management college students or recent graduates are highly desired
- Must have 1 year or more of overnight/graveyard experience
