Venture capital firm is looking for an Executive Assistant to support their Co-Founder and Managing Partner. This is an exciting chance to join a fast-paced, collaborative team that truly values its admin team as strategic partners. In this role, you'll partner with and report to the Chief of Staff to support the Managing Partner and ensure their day-to-day is running efficiently and effectively.
You'll manage complex calendars across business, personal, and family commitments to ensure alignment, prepare meeting notes and materials, book travel, and partner with the Chief of Staff on special projects. You will also collaborate with the Personal Assistant to ensure personal and business commitments are aligned. Someone extremely driven, hungry, and scrappy with a strong sense of urgency and the ability to move quickly alongside a fast-processing team.
This is an in-office role; you will split your week between the San Francisco office and the Executive's residence in the East Bay. 130-140K DOE + premium benefits including coverage for dependents, 401k, generous PTO, and commuter/parking benefits depending on your commute.
- Manage complex calendars for the Managing Partner across business, personal, and family commitments, by aligning priorities, preparing meeting context and notes, and ensuring seamless day-to-day flow. Work collaboratively with the Chief of Staff to ensure the Managing Partner's daily operations run efficiently.
- Prepare briefing materials and logistical support for meetings, speaking engagements, and key initiatives to ensure the executive is fully prepared.
- Book travel and trip logistics, coordinating all details and providing detailed itineraries.
- Anticipate needs and stay several steps ahead to maximize the Managing Partner's productivity.
- Maintain organization and process across all work streams to ensure nothing falls through the cracks.
- Adapt quickly to changing priorities and last-minute requests while maintaining composure and quality.
- Partner closely with the Chief of Staff on special projects.
- 3+ years of experience in Administrative, Operations, or similar role with the ability to operate effectively in a fast-paced environment.
- Strong organizational and time management skills with meticulous attention to detail.
- Highly process-oriented and resourceful, with the ability to think several steps ahead, gather context independently, and execute quickly with minimal oversight.
- High EQ and interpersonal skills.
- Calm, even-keeled, and composed under pressure.
- Motivated, scrappy, and proactive, with a strong work ethic and a mindset focused on continuous improvement and high performance.
- Comfortable working in-office in a collaborative, fast-paced environment.
