Summary
The San Francisco office of Clark Hill LLP is seeking a Legal Administrative Assistant (LAA) to join our CHART Team (Clark Hill Administrative Resource Team) supporting its Litigation attorneys. The ideal candidate will be proficient with Microsoft Office—including Outlook, Word, and Excel—and experienced in using styles and creating and formatting complex documents. This position reports to the CHART Manager and Office Manager and is responsible for ensuring optimal workflow by providing both administrative and litigation support as part of CHART.
It is a 37.5‑hour, non‑exempt, hybrid role requiring 3 days/week on site.
Job Duties
- Provides general administrative assistance, such as maintaining attorneys' calendars and making travel arrangements.
- Provides administrative and litigation assistance to Team Lead and assigned teams.
- Drafts and proofreads correspondence and legal documents, such as pleadings and contracts.
- Responsible for time entries.
- Creates letters, memos, and reports as required; prepares and distributes office correspondence.
- Enters conflict information into the system to run conflict checks for new clients and open matters.
- Manages client billing by preparing, finalizing, and sending out bills, and resolving billing issues in cooperation with the billing attorney.
- Understands and delivers on the needs of internal customers.
- Completes and submits check request forms.
- Communicates with clients and witnesses to schedule meetings, interviews, and depositions.
- Gets trained on various technology applications used across the firm as needed.
- Manages, organizes, and maintains documents in paper or electronic filing systems.
- Electronically files motions with the appropriate court system(s) (when applicable).
- Provides documentation to clients and opposing counsel as required.
- Manages incoming phone calls and inquiries, as required by some attorneys.
- Performs billable work if qualified and requested on an as‑needed basis.
- Performs other duties or tasks as assigned by the CHART Manager, Office Manager, attorneys, paralegals, or Business Unit Leader.

- High competence in MS Office applications and other legal software as required.
- High school diploma or GED equivalent required.
- Three (3) to five (5) years of prior successful experience as an Administrative Assistant or Legal Secretary, with litigation experience required.
- Preferred experience in the specific or related practice area.
The salary range at the time of posting is approximately $40–$50 per hour, or $80,000–$100,000 annually, depending on experience and based on a full‑time work schedule. Actual compensation will be influenced by various factors, including qualifications, experience, skills, training, internal equity, and market data.
