A fast-paced, prestigious professional services corporation is seeking a Legal Administrator / Executive Assistant to provide high-level support to the Legal Department/General Counsel. The organization serves as a multi-employer collective bargaining agent for companies in the shipping and maritime industry on the West Coast. This role offers the opportunity to work closely with senior legal leadership while managing complex administrative and legal responsibilities.

*** This is a full-time, Onsite role based in San Francisco, CA.
- Provide executive-level administrative support to the General Counsel and Senior Counsel, including calendar management, travel coordination, correspondence, and document preparation
- Develop and maintain systems for managing legal records, litigation, administrative matters, and corporate documents with accuracy and confidentiality
- Organize and maintain matter, records, and document management systems, including version control and secure storage of sensitive materials
- Plan and support Board, Finance Committee, and key internal meetings, including scheduling, preparing agendas, compiling materials, and distributing minutes
- Maintain databases and records for internal stakeholders, including agreements, applications, and contact information
- Assist with drafting, formatting, and editing legal documents and correspondence
- Partner with Accounting to process invoices, track external legal spend, support monthly accruals, and assist with budget reporting
- Contribute to a collaborative and professional work environment while supporting the Legal Department in a fast-paced, high-pressure setting
- 5+ years of experience supporting a legal department or senior legal executives preferred
- Bachelor’s degree required; paralegal or legal assistant experience a plus
- Highly organized with strong attention to detail and follow-through
- Proactive, resourceful, and able to manage multiple priorities independently
- Strong written and verbal communication skills; confident and professional in interactions with internal and external stakeholders
- Exercises discretion and professionalism when handling confidential information
- Advanced user of Microsoft Office; familiarity with legal systems and tools a plus
- $110,000 – $145,000, Depending on experience
