The Role

We are seeking a reliable, organized Office Manager & Bookkeeping Coordinator to support day-to-day operations and project financial administration.

This role is ideal for someone who enjoys keeping things organized, accurate, and moving forward, and who wants to grow within a high-end residential construction environment.

You will not be expected to act as a Controller. Instead, you ll support bookkeeping, billing, and office systems while working closely with ownership and external accounting partners.

Responsibilities
  • Office & Project Administration
    • Manage daily office operations and internal coordination
    • Maintain organized digital and project files
    • Support Project Managers with documentation, billing support, and workflow tracking
    • Assist with onboarding paperwork and internal compliance tasks
    • Serve as a professional point of contact for vendors and consultants
  • Bookkeeping Support
    • Assist with accounts payable and receivable
    • Prepare invoices and support client billing
    • Track expenses and support job costing accuracy
    • Coordinate payroll and vendor payments
    • Maintain clean records for external bookkeeper / CPA review
  • Systems & Tools
    • Use Job Tread to support project tracking and billing
    • Ensure data accuracy across systems
    • Help maintain consistent internal processes
What We're Looking For
  • 2-4+ years in office management, construction admin, or bookkeeping support
  • Experience in residential construction or renovation strongly preferred
  • Comfortable with AP/AR and invoicing (full bookkeeping mastery not required)
  • Experience with Job Tread is a strong plus
  • Detail-oriented, reliable, and organized
  • Clear communicator who follows through
Compensation & Growth
  • Salary: $80,000 - $95,000 DOE
