Biotech startup developing breakthrough therapeutics in neuroscience is looking for an Executive Assistant to support their Founder/CEO. This is an incredible opportunity to join a mission-driven team of scientists and researchers working on a disease that affects millions of families. With their recent funding, they are entering a high-growth phase with significant expansion ahead. In this role, you’ll be the right hand to a highly driven Founder, managing a complex calendar across internal and external stakeholders to ensure priorities and commitments are aligned, owning travel planning and logistics, handling meeting support, and managing relationship logistics.
You’ll also take on broader operational and admin responsibilities, including documenting HR processes, managing onboarding/offboarding, scheduling employee reviews and 1:1s, organizing contracts and documents, coordinating team travel, and helping plan company events while also overseeing light office operations, including supplies, vendor coordination, and visitor preparation. There will be some personal support for the Founder. Someone exceptionally organized, proactive, and quick-thinking with the ability to handle ambiguity, pull threads from different places, and interact with diverse stakeholders, including scientists, investors, and experts.
Must have strong, concise communication skills, high agency, and initiative. This role will grow as the company scales. This is a hybrid role, 3 days/week, based in Dogpatch in SF. 24/7 mentality and flexibility/responsiveness for nights and weekends are important. 140-170K+ DOE + equity, benefits, and PTO.
- Provide high-level support to the Founder/CEO to ensure priorities, commitments, and daily workflows remain organized and on track.
- Own complex calendar management, acting as a gatekeeper to align internal and external meetings with priorities.
- Manage end-to-end travel planning, including transportation, logistics, itineraries, and last-minute changes.
- Prepare Founder/CEO for meetings by coordinating logistics, creating briefing materials, tracking action items, and driving follow-up.
- Proactively support relationship management by anticipating needs related to meetings, events, and engagements.
- Plan and coordinate events and off-sites, managing invitations, attendance, logistics, and follow-through.
- Own and document core HR processes, including employee onboarding/offboarding, scheduling performance reviews and 1:1s, and ensuring timely completion of all employee-related paperwork.
- Establish and maintain a centralized contract management system to ensure all agreements are properly organized and accessible for due diligence and investor reviews.
- Coordinate team travel logistics and arrangements as needed to support business operations.
- Serve as the operational backbone of the organization by proactively managing day-to-day needs that keep the business running smoothly.
- Oversee office management needs such as stocking supplies, overseeing vendors and bill payments, preparing the space for visitors, etc.
- Provide light personal support to the Founder/CEO.
- Anticipate issues before they arise and implement effective solutions.
- Previous experience as an Executive Assistant or similar role working in a fast-paced startup or similar dynamic environment with a high degree of autonomy.
- Comfortable supporting a highly busy executive with flexibility, responsiveness, and a 24/7 mindset when needed.
- Strong ability to operate in ambiguity, manage competing priorities, and synthesize information from diverse stakeholders.
- Demonstrated ability to build processes, frameworks, and systems that bring clarity and efficiency.
- Clear, concise, and confident communicator across written and verbal channels.
- Highly proactive, execution-focused, and adaptable, with strong problem-solving instincts.
- Able to manage up professionally by setting boundaries, protecting time, and communicating what is feasible.
- Exceptionally organized and detail-oriented.
- Discreet and trustworthy with handling sensitive information.
- Mission-driven, intellectually curious, and comfortable engaging with technical or subject-matter experts.
- Tech-savvy with Google Workspace, email, and messaging platforms.
