As an Administrative Assistant 5, you will keep executives and teams in Adobe’s Business & New Venture Incubation running smoothly by owning complex scheduling, travel, and onsite logistics. You will partner closely with cross-functional Administrative and Executive Assistants and support in-person needs. This is a staffing/contract role through November 30, 2026. Work model:
Hybrid, minimum 3 days onsite in the San Francisco office.
- Manage executive calendars and meetings; coordinate conference rooms, catering, and logistics.
- Arrange domestic and international travel; develop itineraries and agendas; book transportation, hotels, and meeting rooms.
- Process business expense reimbursements and invoices; manage purchase orders (POs).
- Support team events and operations, including All Hands, offsites, external meetings, guest escorting, and team-building activities.
- Coordinate office space, equipment, software, office-related matters, and events.
- Be onsite regularly to handle in-person needs; travel occasionally to support team offsites.
- Manage team access to shared databases (SharePoint, One Note, Wiki).
- Collaborate with cross-functional Administrative and Executive Assistants.
- 5+ years of Administrative Assistant experience within a high-tech organization.
- Advanced proficiency in Microsoft Office (Outlook, One Note, Word, Excel, PowerPoint, Teams), Slack, and familiarity with Concur or other expense-reporting software.
- Flexibility and comfort with change; thrive in a fast-paced environment.
- Strong time management, planning, and organizational skills with high attention to detail and accuracy.
- Ability to work autonomously, handle complex assignments, show initiative, and execute with follow-through.
- Team player with strong interpersonal skills; builds and maintains positive relationships across organizations.
- Highest level of discretion with sensitive and confidential material.
- Bachelor’s degree or equivalent work experience.
$31.87 - $39.84/hour
