- Provide general administrative support, including creation, maintenance and editing of documents, spreadsheets, files, presentations, market data and CRM systems
- Calendar management and coordination of meetings/events/conferences, including complex travel arrangements
- Prepare and track expense reports and reimbursements for individuals and vendors
- Prioritize daily work, track project progress, deadlines and follow-ups; answer phones and take messages
- Facilitate visits from vendors, clients and firm personnel, including room setup, catering and AV equipment
- Assist with ad hoc responsibilities such as marketing materials, IT support, mailings or deliveries and facility/building requests
- Support recruitment and onboarding initiatives, including interview scheduling, gathering feedback, reference checks and pre-hire/new-hire requests
- Maintain an ongoing Reception Desk presence as needed
- Coordinate office projects and upkeep of the corporate space, including managing and ordering supplies
- Bachelor’s Degree required
- Experience as an Executive Assistant in a corporate environment, ideally within the financial services industry
- Team player with energetic, positive disposition seeking growth and opportunity to expand the role
- Self-starter who can make an impact on a team
- Ability to maintain the highest level of confidentiality
- Strong interpersonal skills to interact with stakeholders and C-level clients in a professional and friendly manner
- Demonstrated accuracy and thoroughness; superb organizational skills and ability to multi-task
- Ability to meet deadlines and work effectively in a pressurized environment
- Ability to handle regular activities without prompting
- Proficiency with technology including MS Office (Word, Excel, PowerPoint, Outlook), Zoom, and expense tracking

The current base salary is estimated at $100,000, with certain positions eligible for discretionary bonuses and other forms of compensation. This range is specific to California and considers factors such as skills, qualifications, experience, licensure and certifications, and organizational needs.
