Sales Coordinator – Brokerage Operations
Location:
San Francisco, CA (On-site). This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without employer sponsorship.
We are looking for a Sales Coordinator to join our Brokerage Operations team. The role supports commercial real estate brokerage producers within our SF office by administering a wide range of administrative, financial, marketing and operational functions. The candidate will partner with brokers, research, marketing, finance, and coordinators to help drive the overall success of the office.
Responsibilities- Business Operations: Gather market research to create client deliverables (market surveys, tour books, competitive sets); prepare deal documents (RFPs, LOIs, renewal letters, leasing status reports, correspondence); update and maintain CRM database.
- Marketing: Manage listings on CoStar, Loop Net, View the Space & Hightower; prepare property marketing flyers, brochures, email distributions; create/edit presentations and client deliverables; assist in planning industry functions, client events, and open houses.
- Finance: Collect and process deal file paperwork; calculate, generate and send invoices using JLL accounting platform; track and process broker expense reports per JLL T&E policy.
- Administrative: General duties such as printing, binding, scheduling meetings, greeting clients, conference‑room setup, office maintenance, broker IT support, travel arrangements, front‑desk coverage as needed.
Required
- 1+ years of experience supporting multiple people, preferably in commercial real‑estate or professional services.
- Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn JLL in‑house platforms.
- Experience with Adobe InDesign.
Preferred
- Project‑management capabilities: multi‑tasking, prioritization, deadline management, independent and team work.
- Resourceful, proactive, detail‑oriented, with a positive attitude and drive for personal growth.
- Discretion and professionalism when accessing confidential information.
- Strong proofreading and editing skills.
Estimated: 70,000.00 – 85,000.00 USD per year. Actual pay varies by qualifications, location, market conditions and internal factors.
