The Admin Assistant serves as the first point of contact for visitors and clients, providing excellent customer service and administrative support for the Associate Admin and CFO. This role is responsible for managing the front desk area, handling incoming calls, greeting guests, and assisting with general office tasks to ensure smooth daily operations.
Pay range: $30-37/hour
Parking: onsite parking; close to BART (5-minute walk)
Work Hours: Monday–Friday, 7:30 AM to 4:00 PM or 6:30am-3pm

Key Responsibilities:
- Provide administrative support for the CFO and Associate Admin
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls promptly.
- Maintain a clean and organized kitchen and reception area.
- Receive, sort, scan and distribute mail, deliveries, and messages.
- Schedule appointments, meetings, and conference room reservations.
- Assist with administrative tasks such as data entry, filing, and photocopying.
- Manage office supplies inventory and place orders as needed.
- Support other departments with clerical and customer service tasks.
- Uphold company security by following safety procedures and controlling access through the front desk.
- Perform other duties as assigned by management.
- Comfortable working with and being point of contact to outside vendors/accounts.
Qualifications:
- High school diploma or equivalent; associate’s degree preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Slack, Envoy, Coupa) and general office equipment.
- Professional appearance and demeanor.
- Ability to handle confidential information with discretion.
- Office-based position with regular interaction with staff and visitors.
