The Fountain Group is currently seeking an Administrative Office Assistant for a prominent client.
Location:
San Fernando, CA.
Job Title:
Administrative Office Assistant. Pay Range: $19.05 – $25.83 per hour.
Employment Type:
Short term contract (potential to extend/convert based on performance/budget).
Location:
Onsite.
The Administrative Assistant provides clerical, administrative, and general office support to a department or group of professionals. This role requires frequent access to highly confidential information and files and demands a high level of professionalism, discretion, and organizational skill.
Responsibilities- Act as the first point of contact for the department, creating and maintaining strong working relationships while anticipating colleague and stakeholder needs.
- Maintain compliance with corporate and functional policies, procedures, and confidentiality requirements.
- Coordinate and support functional processes to ensure efficient departmental operations.
- Perform accurate data entry into functional databases and collaborate with other departments to maintain data integrity and reliable reporting.
- Plan and organize day-to-day workflows to ensure timely completion of assignments by coordinating projects and schedules across functional areas.
- Manage calendars and travel arrangements for department staff.
- Schedule, coordinate, and support meetings, including preparation of materials and follow-up actions.
- Manage general business office activities, including:
- Answering phones and handling mail and correspondence
- Preparing communications, contracts, reports, and presentations
- Data retrieval, archiving, and record maintenance
- Purchasing, travel coordination, and expense processing
- Perform other duties as assigned.
- High school diploma or equivalent required; associate degree or relevant coursework preferred.
- Previous administrative or office support experience preferred.
- Strong organizational, time-management, and multitasking skills.
- Proficiency with standard office software (e.g., Microsoft Office or equivalent).
- Ability to handle sensitive and confidential information with discretion.
- Strong written and verbal communication skills.
