Position: Leasing Administrative Manager (Multi-Family)

Reports to:

General Manager

FLSA description:
Non-Exempt. Employees in this position are paid an hourly pay rate, on a semi-monthly basis, and are eligible to receive overtime pay for any hours worked over 40 in a work week.

Schedule:

Must be available to work one weekend day per week

Position Summary

The Leasing Administrative Manager plays a pivotal dual role in property operations, combining the strategic oversight of leasing functions with the administrative and financial responsibilities of an Assistant Property Manager. This hybrid position is ideal for a seasoned professional with a strong background in lease-up operations, resident relations, and team leadership.

Responsibilities

Leasing Management
  • Lead and mentor the leasing team to meet occupancy and renewal goals.
  • Oversee leasing activities including tours, application processing, and move-ins.
  • Assist GM in approving lease files for all new move-ins to ensure compliance and accuracy.
  • Assist GM with managing the lease renewal process, including outreach, negotiation, and documentation.
  • Develop and implement leasing strategies and outreach marketing plans.
  • Maintain thorough knowledge of property features, pricing, and competitive market trends.
  • Ensure accurate and timely data entry in Yardi or other property management software.
  • Conduct weekly leasing performance reviews and participate in pricing calls.
  • Any other tasks assigned or directed by General Manager
Administrative & Financial Operations
  • Collect and post rent payments; manage accounts receivable and daily bank deposits.
  • Handle resident delinquencies, legal notices, and eviction processes.
  • Prepare and audit financial reports including rent rolls, market surveys, and lease expiration matrices.
  • Process move-ins, move-outs, and lease renewals; ensure compliance with leasing policies.
  • Coordinate maintenance requests and ensure timely resolution.
  • Assist with budget preparation and expense tracking.
Resident Relations & Compliance
  • Maintain high levels of resident satisfaction through responsive communication and service.
  • Ensure compliance with fair housing laws and company policies.
  • Audit lease files for accuracy and completeness.
  • Support resident retention efforts through renewal programs and community engagement
Other Knowledge, Skills, and Abilities
  • Exemplary customer relations and communication both in person and via phone/email, including written and verbal correspondence
  • Strong organizational, communication, and leadership skills.
  • Able to operate basic office equipment including copiers, fax machines, filing cabinets, enter data into a computer, and create printed
  • Strong Microsoft Office skills.
  • Attention to detail and possess ability to follow
  • Ability to work a schedule during normal hours and that may be other than Monday
    - Friday, 8-5. Work in excess of 40 hours per week is
  • Use good judgment and make sound decisions in a fast-paced environment.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Demonstrate practical thinking and make sound decisions.
Education, Experience, Certifications

Required:

  • High school diploma or equivalent.
  • Minimum 3 years of lease-up experience at a conventional property with 150+ units.
  • Minimum 3 years of Assistant Manager experience with a leasing background.
  • Proficiency in Yardi or similar property management software.

Preferred:

  • Bachelor's or associate degree.
Physical Demands
  • Must be able to lift, push, pull, and/or move up to 10 pounds. Regularly required to sit, stand, walk, open doors
Communication
  • Must be able to communicate (orally and written) in a professional manner on a regular basis with prospective residents, current residents, staff, management, and co-workers within the company as well as with outside vendors. Can be part of a team. Follows instructions and responds to management's discretion. Takes constructive criticism and uses it as a learning tool.
