Position: Oncology Doctor's Assistant (DA)

Overview

We are seeking an experienced Oncology Doctor’s Assistant to join our specialty team.

We’re looking for a personable yet highly professional service extraordinaire to support our Oncology service and help guide clients through complex and often emotional treatment journeys with clarity, empathy, and confidence.

This role requires a high level of adaptability and strong multitasking skills. While primarily supporting oncology cases, the Doctor’s Assistant must be comfortable helping manage a dynamic schedule that may occasionally include non-oncology appointments. The ideal candidate is proactive, organized, and able to anticipate needs, helping the doctor stay on track throughout the day while maintaining clear and concise communication across technicians within the department and the CSR team.

Schedule: Full-time – 4x10 hours
Pay Range: $20 to $25 per hour

Compensation is negotiable based on education, experience, and other relevant credentials.

Responsibilities
  • Serve as the primary communication liaison between the doctor, clients, technicians, and CSRs.
  • Document exam findings, diagnostic plans, and treatment recommendations in Woof Ware as directed by the doctor.
  • Track lab results, imaging, and referring veterinarian communications to ensure timely follow-up and documentation.
  • Maintain visibility of case status throughout the day and communicate delays, updates, or needs to relevant team members.
  • Support discharge planning by reviewing discharge summaries, home care instructions, and medication or refill needs.
  • Relay the doctor’s updates and care plans to clients in a clear, professional, and empathetic manner.
  • Answer client questions regarding diagnostics, treatment plans, follow-up care, and general case information as instructed by the doctor.
  • Contact clients for updates, follow-ups, or to review diagnostic results once cleared by the doctor.
  • Ensure all client-facing communication is documented thoroughly and accurately in Woof Ware.
  • Serve as the central point of communication for the Oncology service on behalf of the doctor.
  • Coordinate with technicians to prepare for oncology treatments, procedures, or diagnostics.
  • Communicate with referring veterinarians as needed to request records or provide updates per the doctor’s direction.
  • Help ensure that VCA policies, updates, and oncology-specific protocols are followed and shared across the service.
  • Uphold VCA’s standards of client service and medical documentation.
  • Arrive on time, maintain a professional demeanor, and communicate with courtesy.
  • Protect client confidentiality and ensure HIPAA-like compliance for patient records.
  • Participate in department meetings, trainings, or rounds as needed.
  • Read and respond to all internal communication in a timely and professional manner.
Qualifications
  • At least 1-2 years of proven experience assisting clients in a veterinary or healthcare setting.
  • High School Diploma/GED or equivalent.
  • Strong listening, communication, and organizational skills.
  • Compassion for both pets and people, with an understanding of emotional sensitivity in oncology care.
  • Proven decision-making skills and the ability to integrate new information into problem-solving.
  • Proficiency in Microsoft Office. Familiarity with Woof Ware or comparable EMR platforms is preferred.
  • Willingness to work non-traditional hours, including nights, weekends, and holidays.
  • The ability to lift up to 40 lbs. and be exposed to hazards associated with pets such as allergies, contagious diseases, noises, odors, bites, scratches, and animal waste
