Chief of Staff / Executive Assistant - $100-$130K

25-30% Travel

The Chief of Staff will work directly with senior executives to lead cross-functional initiatives, enhance organizational efficiency, and support strategic decision-making. In this role, you will successfully manage complex projects, coordinate executive communications, and build strong relationships across teams to foster a culture of collaboration and innovation.

Responsibilities:
  • Serve as communication liaison, right-hand advisor and gatekeeper to the CEO.
  • Anchor high-level meetings, special projects, and confidential correspondence for precise and timely execution.
  • Contribute to effectiveness and overall company success by demonstrating adaptability and problem-solving acumen.
  • Provide cross-functional collaboration:
    Partner with the CEO and Senior Management to drive strategic planning and execution, resulting in improvement in the alignment and delivery of company goals.
  • Provide seamless executive support and operational efficiency through effective coordination of daily operations, prioritized C-level tasks, and organized meeting agendas.
  • Identify and implement key operational improvements, to drive reduction in process bottlenecks and enhancing overall team effectiveness.
  • Supervise administrative finance, travel, and operations for the CEO and other executives.
  • Manage confidential documents and materials, time sensitive mail, and company reports.
  • Interview prospective new hires and handle all onboarding and offboarding of employees.
  • Organize all logistics, meetings and communications for the CEO and other executives.
  • Plan, coordinate, and execute team events and offsite retreats.
  • Provide support and oversight for special projects and initiatives.
  • Act as the office manager by keeping up with office stocked and fully operational.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in industry meetings as needed.
  • Research projects as assigned.
  • Will travel 25-30%.
Required / Desired Knowledge, Experiences, and

Skills:
  • 3-5 years of experience in high technology company and/or 5+ of experience in strategic program/project management.
  • Proven project management acumen with a track record of effectively leading multifaceted initiatives.
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Exceptional interpersonal and communication skills, with a knack for fostering collaboration and an ability to synthesize for high-level decision makers.
  • Profound analytical and problem-solving abilities.
  • Strategic thinking capacity and the ability to drive results in a dynamic, fast-paced environment.
  • Strong organizational and time-management skills.
  • Strong ownership, autonomy and proactivity.
  • Proficiency in Microsoft Office, Salesforce and other office productivity tools, and aptitude to learn new software systems. Tech-savvy and able to pick-up new programs and interfaces quickly.
  • Experience in Social Media Management
  • Experience in managing various virtual meeting applications (Zoom, Microsoft Teams, etc.)
  • Experience in Adobe Suite (Illustrator, acrobat, photoshop)
  • CRM/Task Management programs (Salesforce, others)
Education/Certifications
  • High School Diploma or Equivalent (GED), required.
  • Bachelor's degree in a related field; advanced degree, preferred.
