Overview

The SHW cluster (including SHS, HPS, CAPS, SHW Administration; SPIR; SHAA) reports through UC San Diego Health System and leads a wellness culture across campus. SHS provides primary medical care and related services to UCSD students, and is accredited by the Accreditation Association of Ambulatory Health Care. The Medical Group Office Assistant (MGOA) serves as the initial point of contact for patients visiting Student Health Services, assisting with patient flow, administrative tasks, and communication.
- Welcome patients and support delivery of care; manage patient flow from check-in to check-out.
- Verify insurance eligibility and schedule appointments using EPIC; operate a multi-line telephone system; accurate message-taking; maintain patient confidentiality.
- Assign primary care providers for new patients; coordinate physician referrals; guide patients to SHS offerings.
- Address patient complaints with exceptional customer service; maintain cleanliness in waiting areas and stock supplies.
- Provide assistance to patients and staff in person and by phone; adapt to support other clinic areas as required.
- Experience in a front office outpatient healthcare facility.
- Active listening with ability to address patient concerns with a caring demeanor; ability to handle sensitive topics without bias.
- Strong organizational skills; ability to prioritize, work under pressure, and manage diverse tasks.
- Knowledge and experience using computerized scheduling systems, electronic medical records, and medical record management.
- Experience coordinating physician referrals and scheduling clinical procedures and tests.
- Proficiency with standard business equipment, multi-line phones, computers, Microsoft Office, email, and web-based tools; willingness to upskill.
- Attention to accurate record-keeping and clear written/verbal communication; professional interpersonal skills.
- Initiative to complete assigned tasks and uphold professional standards (C.A.R.I.N.G.; UCSD Principles of Community and safety standards).
- Knowledge of health information and medical terminology; ability to assess clinical urgency and maintain confidentiality per HIPAA and FERPA.
- Ability to pass required trainings and demonstrate cultural competency; foster a welcoming, inclusive environment.
- Submit incident reports as required; participate in trainings and refreshers.
- Experience working in a college environment with a college-age population.
- Commitment to principles of community; complete initial mandatory health requirements including TB test and flu vaccination as applicable; annual TB screening.
- Flu vaccination annually; COVID-19 vaccination or approved exemption; ability to work varied hours/locations; occasional evenings and weekends.
- Ability to telecommute when needed and feasible; background check clearance required before offer; job description may be revised.

Pay Transparency
Annual Full Pay Range: $53,160 - $75,335 (prorated if appointment < 100%)
Hourly: $25.46 - $36.08
Factors include experience, skills, education, licensure, and organizational needs.
