This dual-role is designed for a detail-oriented, tech-savvy, and clinically minded individual who thrives in a fast-paced environment. The ideal candidate will support patients throughout their treatment journey by coordinating appointments, managing medication-related requests, and assisting the clinical team in delivering PrTMS (Personalized Repetitive Transcranial Magnetic Stimulation) services. This role requires both administrative excellence and hands-on patient interaction.
Responsibilities- Greet and assist patients in person and over the phone with professionalism and empathy.
- Schedule new patient intakes, follow-up appointments, and psychiatry or therapy visits.
- Verify insurance eligibility and collect required documentation.
- Maintain accurate EHR records and patient communication logs.
- Serve as a liaison between patients and clinical providers.
- Support front desk operations and provide general administrative backup as needed.
- Confirm pharmacy information and verify insurance requirements.
- Track prior authorizations and communicate with pharmacies or insurers as needed.
- Assist providers with telehealth medication visits and patient follow-ups.
- Assist providers with setup and delivery of PrTMS treatments.
- Obtain qEEG brainwave assessments and manage secure data uploads.
- Prepare treatment rooms, complete equipment checks, and ensure patient safety and comfort.
- Track treatment outcomes and communicate progress to clinical leadership.
- Maintain compliance with internal and regulatory protocols.
- Performs other duties as assigned.
- High school diploma or equivalent; associate degree or medical office experience preferred.
- Strong communication and customer service skills.
- Ability to multitask, prioritize, and work independently.
- Comfortable using EHRs, scheduling platforms, and basic clinical technology.
- Professional, calm, and reliable under pressure.
- Experience in a medical or behavioral health office setting (Preferred).
- Experience as an MA, CMA, mental health coordinator, or technician (Preferred).
- Bilingual English/Spanish (Preferred).
- Prolonged periods of sitting at an office desk on the computer.
- Lifting:
Able to lift up to 15lbs.
Pay range: $23 USD - $25 USD
