Position: Health Information Management (HIM) Specialist

Health Information Management (HIM) Specialist Administration - Vista, CA - Full Time

The Health Information Management (HIM) Specialist maintains, organizes, and protects healthcare data to ensure accuracy, integrity, confidentiality, and accessibility. This role ensures compliance with regulatory requirements and facilitates efficient recordkeeping to support high‑quality patient care and operational efficiency. The HIM Specialist supports the processing, tracking, and fulfillment of medical records requests, whether performed directly or via contracted vendor management partners. The HIM Specialist also supports MyChart and the Digital Health Ambassador program as directed.

Responsibilities
  • Health Records Maintenance
    :
    Maintain, organize, and secure patient health records in the electronic health record (EHR) system, ensuring data accuracy and completeness according to organizational policy and department guidelines.
  • Compliance and Standards
    :
    Ensure compliance with legal, regulatory (state & federal), and accreditation standards, such as HRSA requirements.
  • Data Integrity
    :
    Regularly audit health information for accuracy, consistency, and timeliness; correct discrepancies as needed.
  • Scanning and Indexing
    :
    Scan and index documents into the EHR, ensuring timely and accurate availability. Key performance standards include:
    • Volume management: 100–125 pages/hour baseline (depending on complexity and equipment)
    • Accuracy rate: 98–100% indexing accuracy
    • Timeliness: complete indexing within 24 hours of receipt
  • Technology Utilization
    :
    Utilize EHR and related HIM systems and software; monitor work queues and electronic tasks related to PHI daily in accordance with department guidelines.
  • Document Management
    :
    Manage documentation management, electronic fax, EHR queues, and related queues; monitor and process incoming faxes; ensure information is complete and accurately reflected in the system.
  • Quality and Compliance
    :
    Perform auditing and quality control; assist with periodic audits for accuracy and completeness; ensure deadlines align with regulatory or department standards; protect patient confidentiality and adhere to privacy policies.
  • Processing Requests
    :
    With oversight from the Director and/or Compliance Office, follow procedures to review, validate, and respond to medical records requests from patients, providers, authorized stakeholders, and third parties; ensure proper authorization and HIPAA compliance.
  • Record Management
    :
    Retrieve and manage data using EHR systems; maintain accurate records of all release transactions and correspondence.
  • Customer Service
    :
    Respond to inquiries about medical records professionally; provide support to MyChart and the Digital Health Ambassador program as directed.
  • Vendor and Third-Party Interaction
    :
    Retrieve documentation from third-party portals and coordinate with vendors to ensure complete and accurate retrieval of documents.
Qualifications
  • High school diploma or equivalent.
  • Six (6) months’ clerical or administrative experience in healthcare or a medical office setting with electronic health records.
  • Proficiency with electronic health record systems (EPIC) and Microsoft Office software; familiarity with MyChart and Digital Health Ambassador programs.
  • Understanding of HIPAA Privacy and Security Rule.
Preferred Qualifications
  • Associate’s degree in health information technology, management, or related field.
  • 2 years of health information management experience and demonstrated knowledge, skills, and abilities.
  • Bilingual in English and Spanish.
  • Knowledge of medical terminology.

The pay range for this role is $21 to $29.40 per hour. Pay transparency:
Salary is determined based on education, knowledge, skills, and experience, with consideration for internal equity.
