Director of Operations / Executive Assistant

This role requires regular in-person support. Candidates must currently reside in the San Diego area.

About the Role

We are supporting a high-producing, design-forward luxury real estate team in San Diego that is seeking a Director of Operations / Executive Assistant to serve as the operational backbone of the business.

This is a hands-on, high-trust role for someone who loves systems, structure, and execution—but can also flex into creative, client-facing, and in-field support when needed. The ideal candidate is proactive, tech-savvy, polished, and confident managing priorities in a fast-paced environment.

This role may begin with an Executive Assistant–style title, with a clear path to grow into a Director of Operations position as the team continues to scale.

Key Responsibilities Administrative & Operational Support
  • Manage inbox communication, scheduling, calendars, and daily priorities for leadership
  • Maintain organization across transactions, files, workflows, and client touchpoints
  • Build, document, and manage systems and SOPs to improve efficiency and follow-through
  • Own task management and workflows using project management tools (e.g., )
  • Proactively identify issues, anticipate needs, and solve problems before they escape
Client Experience & Transaction Support
  • Support luxury client experiences from contract to close
  • Prepare and send client gifts, closing packages, and follow-up materials
  • Coordinate with vendors, service partners, stagers, photographers, and inspectors
  • Ensure smooth workflows across all active and upcoming transactions
  • Maintain strong relationships with past clients through thoughtful communication and follow-up
In-Field & Hands-On Support
  • Coordinate and support staging and home preparation
  • Manage listing materials, signage, and inventory
  • Run errands and provide on-site support as needed
  • Assist with open houses, listing preparation, and local logistics
Marketing & Brand Support (As Needed)
  • Assist with social media and marketing coordination
  • Help with light content capture, posting, and brand consistency
  • Support presentations, marketing materials, and client events
Candidate Profile Required
  • Must be based in San Diego, CA
  • Highly organized, detail-oriented, and execution-focused
  • Strong experience with inbox management, scheduling, and executive-level communication
  • Tech-savvy and comfortable using CRMs, project management tools, and digital platforms
  • Professional, polished presence suited for luxury clientele
  • Confident communicator with strong follow-through and accountability
Preferred
  • Familiarity with transaction workflows and real estate operations
  • Experience using tools such as , CRM platforms, Google Workspace, Canva, or similar
  • Real estate license is a plus (not required)
  • Eye for presentation, branding, and client experience
