The Part Time Legal Administrative Assistant plays a key role in supporting the corporate real estate legal team by managing administrative tasks, document workflows, and compliance activities. This position is well suited for a detail oriented professional who thrives in a fast paced environment, can balance multiple priorities, and maintains a high level of confidentiality while supporting attorneys and real estate leadership.
Responsibilities:
- Provide administrative support to real estate leadership, including scheduling, calendar coordination, meeting preparation, and general office tasks
- Maintain organized electronic and physical files for properties, transactions, and legal matters, ensuring accuracy, confidentiality, and compliance with corporate standards
- Assist with document execution, routing, notarization, and signature tracking for leases, contracts, and closing packages
- Coordinate due diligence materials, document retrieval, and data room organization for acquisitions, dispositions, and financing activities
- Support compliance initiatives by tracking critical dates, maintaining insurance certificates, and monitoring required documentation
- Manage incoming communications, including calls, emails, and internal inquiries, ensuring timely and professional responses
- Assist with invoice processing, expense tracking, and legal billing support
- Provide general office support, including mail handling, supply ordering, and file maintenance
Qualifications:
- Prior experience in a corporate legal or transactional support role; real estate industry experience strongly preferred
- Proficiency in MS Office Suite; familiarity with legal or real estate software such as Docu Sign, iManage, Yardi, SharePoint, or Net Documents is a plus
- Strong understanding of legal terminology
- Excellent written and verbal communication skills with exceptional attention to detail
- Ability to manage multiple deadlines, prioritize effectively, and maintain strict confidentiality
- Professional demeanor and strong customer service orientation when interacting with internal teams, tenants, vendors, and outside counsel
- Availability for part time hours, typically 20 to 25 hours per week
