You’ll manage his calendar, inbox, meetings, and systems with precision, ensuring no task or opportunity falls through the cracks.

Your Responsibilities Include
  • Calendar & Scheduling Management
    • Fully own and maintain a busy executive calendar (10–30 meetings per week)
    • Coordinate meetings across internal teams, vendors, and external partners
    • Prioritize strategically — protecting blocks for deep work and leadership time
    • Anticipate and resolve conflicts quickly, ensuring seamless scheduling
    • Prepare meeting agendas by reviewing previous meeting notes and action items
  • Inbox & Communication Management
    • Manage the executive’s business inbox with a zero-inbox mindset
    • Organize, label, and filter incoming emails for speed and clarity
    • Draft polished, brand-aligned responses and correspondence
    • Use AI tools (like ChatGPT) to summarize, draft, or automate replies where appropriate
    • Flag urgent items, follow-ups, and pending decisions for quick action
    • Maintain clear communication between the founder and internal/external stakeholders
  • Meeting Notes, Action Items & Follow-Up
    • Attend key meetings or review AI-transcribed notes to identify next steps
    • Capture and summarize action items in an organized, trackable format
