Overview

Our team is growing and we are looking for a new Facilities Support Representative to join our team. This position will balance receptionist duties along with providing administrative support to the Facilities Management department.

Compensation: $23.00 - $27.00 an hour

  • Actual base pay within this range will be determined by several components, including but not limited to, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
Responsibilities
  • Must respond to routine inquiries from staff, members, vendors, and visitors; must refer any non-routine, sensitive and/or complex requests for information and other inquiries or complaints to the appropriate staff/management.
  • Ensure Coastline Conference Center rooms, including the Hospitality Nook, are neat and stocked with necessary supplies throughout the day. Inventory coffee, supplies, utensils, and cups to order supplies as needed. Acts as Relationship Manager for dry cleaning services, food deliveries, and other services.
  • Organize, manage and maintain Facilities Management related information via internal S Drive,  Boards, and Facilities Support email inboxes.
  • Acts as back-up for all Building Management Systems (BMS) and Ecobee temperature adjustments, ensuring timely communication with all requesters and the Corporate Property Manager.
  • Request, receive, track, and upload certificates of insurance for all Facilities Management vendors and tenants, as well as for our Branch Lease locations.
  • Create the monthly, mid-year, and annual On the Spot recognition program reports and post following approval.
  • Facilitates corporate office Moves/Adds/Changes (MAC) requests through the Interactive Workplace Management System (IWMS) and works collaboratively with vendors and Network Services.
  • As requested, prepares nameplates, space allocation, square footage, and occupancy reports. Maintain the data integrity of information contained in the IWMS and maintain floor plans for the corporate campus.
Qualifications
  • High School Diploma, G.E.D., or equivalent is required.
  • Minimum of three years of associated experience, including administrative, property management, facilities management, or vendor management experience.
  • Strong oral and written communication, organization, teamwork, and follow-up skills.
  • Excellent flexibility, adaptability, and ability to manage multiple priorities required.
  • Proficient computer skills required.
  • Must have professionalism and a sense of urgency when responding to requests.
  • Must be comfortable interacting with C-Suite, Senior Management Team, and Board of Directors.
  • Strong knowledge of Microsoft Office Suite (including Project, PowerPoint, and Publisher), Internet, and internet-based work order and security software
  • Ability to handle office equipment (e.g., the telephone system, printer and computer)
