We are seeking an experienced, highly professional Executive & Governance Administrator (EGA) to work closely with our client, a dynamic CEO. This role serves as the primary point of contact for the executive, managing both business and personal matters in a high-volume, fast-paced environment. The EGA will anticipate needs, handle confidential responsibilities, and provide seamless support to ensure the CEO’s productivity and effectiveness.
This position is based in La Jolla and requires regular on-site presence.
- Manage complex calendars, travel arrangements (domestic/international), meeting logistics, expense reporting, and confidential correspondence.
- Remain accessible to support urgent needs, including across time zones during extensive travel.
- Provide governance support: prepare board books, agendas, and minutes; coordinate board and committee meetings; maintain corporate records and compliance documentation.
- Act as liaison between CEO, board members, and leadership, ensuring clear communication and timely follow-through.
- Maintain organized physical and digital filing systems.
- Serve as a personal assistant for select tasks and projects.
- Interpret bylaws, policies, and procedures for each entity and identify potential compliance risks.
- Acts as Notary Public
- Bachelor’s degree and at least 7 years’ experience supporting C-suite executives.
- Minimum 5 years’ governance and board support experience.
- Exceptional organizational, communication, and relationship-building skills.
- Advanced Microsoft Office skills; tech-savvy with audio/video conferencing tools.
- Flexible to work outside standard business hours and travel as needed.
- Highly polished, detail-oriented, and proactive.
- Thrives in high-stakes, confidential environments.
- Anticipates needs, solves problems quickly, and maintains a positive, professional demeanor under pressure.
- Has extensive governance and travel booking experience.
- Legal experience is highly preferred but not required.
$120-150k DOE, bonus opportunity, benefits package, other perks.
LocationLa Jolla, CA. Just be able to be onsite 3 days a week, and work 2 days a week remotely.
ScheduleStandard business hours, full time, Monday - Friday. Flexibility after hours via phone and email is required.
