Position Summary:

Under the direct supervision of the SD PACE Quality Manager, the San Diego PACE Regulatory Clerk provides administrative support and coordinates operational activities for the Risk, Quality, Compliance and UM department of San Diego PACE. Is responsible for scheduling appointments, interviews, developing power point presentations, preparing binders, meeting agendas and meeting minutes, generating reports, conducting data entry as needed and ordering necessary supplies for the Risk, Quality, Compliance and UM department.

The San Diego PACE support staff works closely with the Director of Quality & Compliance, Quality Manager, Compliance Manager and UM Manager, on activities related to Risk, Quality, Compliance and UM issues including interfacing directly with participants and staff, documenting complaints/issues and assisting with resolving their immediate needs if possible.


Essential Job Functions:

  • Schedules meetings and prepares any necessary supplies or tools needed for the meeting. May make travel arrangements as needed.
  • Sort and distribute incoming mail, newsletters and faxes for the Director of Quality & Compliance and others as needed.
  • Prepares and type letters for mail out and prepares internal memorandums as directed.
  • Prepares administrative and financial reports, productivity reports and other materials as directed including those of a confidential nature.
  • Will assist with the maintenance of personnel files under the supervision of management.
  • Will maintain an accurate tally of all materials and order office supplies as needed.
  • Will assist Management in maintaining protocol/training binders, project binder, updating policies and procedures.
  • Will maintain and update as needed contact information for internal and external entities including contracted vendors.
  • Manages petty cash fund and promptly reconciles to replenish the funds. Additionally, under the supervision of management, will process check requests and work with the Accounting Department to ensure prompt delivery.
  • Schedules appointments and keeps calendars for management team.
  • Will assist with developing presentations including those that require PowerPoint.
  • Prepares agendas, confirms attendance and records minutes and translates for meetings as needed.
  • Assists in coordination of special meetings and events including scheduling and overseeing catering orders/delivery.
  • Schedules maintenance of office equipment as needed.
  • Coordinates work orders with Plant Support and IT team.
  • Interfaces, assists, and acts as liaison between PACE Quality, Compliance, UM and other departments.
  • Works closely with Management to address customer satisfaction and effectively addresses complaints in a timely manner.
  • Works closely with Management to ensure quality and corporate compliance.
  • Adheres to SYHealth’s and department attendance and punctuality policies and practices.
  • Attends meetings and training as required.


Additional Duties and Responsibilities:

  • Provide back up support to intake staff as needed, including covering phones, checking in/out participants and visitors.
  • Assist in the development, application and implementation of policies and procedures, objectives, quality assurance program, safety, environmental and infection control standards.
  • Attend meetings as required and participate in committees as directed.

Job Requirements:


Education Required (Minimum level of education):

High School Diploma or GED equivalent required. Bachelor’s Degree

preferred.


Experience:

Strong administrative assistant and interpersonal communication skills

Experience assisting and reporting to executive or upper level management.

Required to be well versed in Microsoft Word, Excel, Visio and PowerPoint.


Verbal and Written Skills Required to Perform the Job:

Must have excellent oral and written communication skills. Spanish preferred.
