Position:
Technical Administrative Coordinator – San Diego State University, National City, CA.
This position is open until filled. An initial application review will take place on December 12, 2025.
Salary: $32.00 - $34.00 per hour (non‑negotiable).
Purpose of the PositionUnder the general direction of the Development Operations Supervisor, the Technical Administrative Coordinator supports processes across the service provider lifecycle, managing recruitment and onboarding, coordinating development and evaluations, and ensuring smooth transitions. The role collaborates closely with the Development Operations Coordinator and key division/program teams (e.g., Fiscal/Contracts and Systems) to enhance operational efficiency through data systems and project management processes.
Specific DutiesService Provider Hiring, Development, and Separation Support (35%)
- Manage rolling recruitment and onboarding, handling multiple candidates simultaneously.
- Act as first point of contact for service providers, responding to inquiries and facilitating onboarding.
- Prepare applicant packages for evaluation, schedule observations, and participate in assessments.
- Support internal recruitment to expand the service provider trainer pool.
- Develop and deliver training modules for technical platforms.
- Aggregate data from Qualtrics and coordinate performance evaluations.
- Assist in service provider transitions, ensuring compliance with protocols.
Data Systems and Project Management Processes (40%)
- Optimize and maintain the applicant management system (Trello/Zoho) and Academy website.
- Set up and manage service provider profiles and personnel records across CRM systems.
- Collaborate with Fiscal/Contracts, Systems, and Program teams for continuous quality improvement.
- Liaise with Fiscal/Contracts on classification and job status changes.
- Support configuration and maintenance of new tech platforms and cross‑train team members.
Operational Support and Coordination (15%)
- Maintain an annual view of key projects and activities, coordinating scheduling.
- Support planning and organization of WMD‑led events and staff development activities.
- Participate in review of the Facilitator Annual Survey data.
- Process and set up observations of classes through the Zoho ticket system.
Relational/Technical Writing and Communication (5%)
- Support copywriting, editing, and design of engagement materials.
- Prepare and distribute communications via Mail Chimp.
- Monitor team communication topics and draft updates for the Hub.
- Create and maintain policies and procedures.
Other Duties as Assigned (5%)
- Perform duties as assigned to further the Academy’s goals.
- Travel to off‑site locations for meetings (primarily Riverside and San Diego).
- Lead recruitment and onboarding with a relational lens.
- Strong interpersonal communication, writing, and design skills.
- Ability to liaise between teams across divisions and external partners.
- Proficient with project management software and CRM platforms.
- Knowledge of administrative procedures and systems (word processing, records, databases).
- Self‑starter, independent and collaborative, with strong organizational skills.
- Capable of managing multiple simultaneous projects and meeting deadlines.
- Possess detailed‑oriented and accurate execution.

- Equivalent to a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices or programs.
- Three (3) years of progressively responsible experience in an office or administrative environment.
- Minimum two (2) years experience working in health and human services or related field.
