Vendor Data Specialist 1 – Vendorization Department
SUMMARY: Under the direction of the Vendorization Manager, perform a variety of specialized tasks related to the retention, documentation, maintenance, and support of vendor records and files.
Hourly Range: $18.83–$26.50 per hour.
SIGN-ON BONUS:
- $250 sign‑on bonus after completing 90 days of employment with good performance.
- $500 sign‑on bonus after completing 6 months of employment with good performance.
- Referred candidates must disclose the referring employee’s full name during application.
- Sign‑on bonuses apply only to new hires; rehires are not eligible.
Essential Duties and Responsibilities:
- Process incoming and outgoing mail as directed.
- Maintain electronic vendor scans in the scanning system; ensure accuracy and legibility of scanned files.
- Verify insurance, licenses, and CPR information in VSN, Sandis, UFS, and Atlas systems per manager instructions.
- Manage data entry and maintenance of Uniform Fiscal System (UFS) vendor files, VSN tracker, and Atlas program.
- Assist the Vendorization Manager in maintaining the Service Provider Directory Portal by verifying and updating vendor information.
- Process documentation requests from other units and deliver them via Microsoft Teams or other channels as needed.
- Attend required training sessions and stay current on regulations, technical bulletins, and compliance policies.
- Travel to other offices or locations as needed and drive company vehicle when required.
- Assist with bi‑annual business entity checks and rate table updates using New Generation Software.
- Demonstrate strong teamwork, communication, and the ability to work cooperatively in a hybrid work environment.
- Maintain a clean, safe work area and adhere to all safety rules and the IRC Injury and Illness Prevention Plan.
- Ensure timely communication with supervisors regarding work progress and issues.
- Utilize agency IT systems securely and follow all established protocols and procedures.
- Maintain consumer rights and dignity in all service provisions.
- Perform additional job‑related duties as assigned.
Minimum Position Requirements:
- High school diploma.
- Preferred office clerical work experience or related experience.
- Typing speed of 45 words per minute with 10‑key proficiency.
- Computer knowledge, including Adobe PDF and Microsoft Office Suite (Excel, Word, Outlook).
- Experience maintaining computerized record systems.
- Bilingual language skills preferred.
- Strong organizational and detail‑oriented skills.
- Ability to follow oral and written instructions.
- Valid California driver’s license and liability insurance; safe driving record required.
