Job SummaryResponsible for managing incoming and outgoing parts related to all equipment and related activities and service companies, generated through the purchasing order system. Generate purchase orders for equipment, parts and consumables. These items entered and stored into our inventory system. All purchase orders are documented for accountability into the purchase order system and closed at fulfillment.
Main Duties And Responsibilities (Other Duties May Be Assigned)- Ensure that appropriate levels of spare and replacement parts are consistently maintained to support equipment and tool functionality. Maintain accurate records of critical parts essential to business success.
- Upload Purchase Orders after completion and upload related invoices to the Accounting Department, close out POs, and ensure proper documentation is maintained.
- Remove inventory from the system based on tags that are filled out by maintenance personnel. Note the min and max levels to determine if replacement inventory needs to be ordered.
- Responsible for ordering MRO (Maintenance, Repair, and Operations) parts and replacements as needed.
- Verify parts received from orders, update inventory records in the inventory management software, and properly stock items in their designated locations. Conduct regular cycle counts to ensure inventory accuracy.
- Prepare paperwork and coordinate with the Shipping Department for items that need to be repaired or returned.
- When receiving chemicals, ensure they go through the approved vetting process, including the creation and review of Material Safety Data Sheets (MSDS). Ensure all chemicals are properly documented before being added to inventory or included in purchase orders.
- Uphold the 5S principles (Sort, Set in order, Shine, Standardize, Sustain) to maintain an organized and efficient workspace.
- High school diploma or GED.
- Minimum 3 years’ experience in a warehouse or inventory role.
- Prior purchasing experience preferred.
- Intermediate to advanced proficiency in MS Office, including Word, Excel, PowerPoint, Teams and in the use of e-mail, web browser applications.
- Basic skills using iPads, data entry, email, and web applications.
- Ability to perform basic math calculations (addition, subtraction, multiplication, division).
- Understanding of both metric and standard measurements.
- Strong analytical, planning skills and critical thinking ability required with orientation for continuous improvement.
- Ability to effectively prepare business and technical documentation such as procedures, reports, presentations, etc.
- Ability to understand and follow written technical procedures/instructions.
- Ability to identify and report potential quality or safety issues.

- Ability to read, write and speak English.
- Highly effective, articulate communication skills (verbal & written) with strong interpersonal effectiveness and the ability to work with all levels in the organization and across cultures.
- Bilingual English-Spanish preferred.

- Ability to read technical part drawings and OEM manuals to correctly identify spare parts.
- Proficient in handling and processing POs and invoices.
Be willing to meet the physical requirements below and work overtime as needed, sometimes with minimum notice (including some weekends and holidays) to cover responsibilities based on the needs of the organization.
- 95% of work will be on maintenance storage area.
- Overtime will possibly be needed, so remaining flexible with hours available is necessary.
- Must be able to lift 50 pounds individually and team lift 75 pounds.
- Must be able to perform this job safely in accordance with standard operating procedures without endangering the health or safety of self or others.
- Must wear all personal protective equipment where required.
- Steel toe boots are required.
