GENERAL SUMMARY

Plans and directs all administrative, financial, and operational activities for the organization's President, CEO or other executive. Organizes and prioritizes critical issues and required information for the executive to facilitate efficient decision making. Acts as a point of contact or gatekeeper between top management and other stakeholders. Provides oversight and guidance to projects of high importance. May act as an advisor to the chief executive.

May be responsible for the management of executive support staff. The Chief of Staff must demonstrate the ability to perform all functions with highest level of professionalism, unprompted guidance, independent judgement, self-discipline and confidentiality.

ESSENTIAL DUTIES & RESPONSIBILITIES

* Coordinates and implements special projects assigned by the CEO.

* Collaborates and aids the Special Projects Manager.

* Distills discussions and thoughts from various meetings into strategic action plans with measurable outcomes.

* Manages CEO calendar to include efficient booking and coordinates Board related activities/meetings/ obligations. Adjusts schedule times to avoid conflict and include all required parties.

* Monitors and identifies priorities that require Executive Leadership support. Provides oversight and guidance to projects involving internal and external stakeholders .

* Organizes and prioritizes critical issues and required information for the Executive (s) to facilitate efficient decision-making. Creates structure and focus for broad ambiguous ideas and present recommendations for action in a timely manner.

* Proactively identifies opportunities to add value to the CEO and agency.

* Serves as a point of contact or gatekeeper between management and other stakeholders. Connects teams that are working on similar initiatives to improve synergy and favorable outcomes.

* Supports the CEO in setting the overall strategy of the agency and in day-to day operations.

Board of Director Meeting Support

* Coordinates and implements annual calendar of board and committee meetings and meetings involving Executive Leadership or agency compliance.

* Facilitates the board appointment process, board orientation, and training requirements of the Board of Directors.

* Prepares, creates and distribute meeting materials- calendar/email invitations, agendas, support materials, reports, PowerPoint presentations and email Board Members any pre- requisite materials in a timely manner.

* Records notes and draft meeting minutes; obtain approval of notes from Board Secretary and publish approved minutes (location) with the secretary's signature.

* Serves as the liaison in communicating with members of the board in coordinating meetings, retreats, special events, conferences, and travel.

* Supports productivity of the CEO and Board of directors by owning, planning and facilitating meetings including: making room reservations, ensuring appropriate room set up, troubleshooting meeting technology and communicating updates. Make meal arrangements if appropriate.

* Performs other related duties as required.

MINIMUM ENTRANCE QUALIFICATIONS

Education and Experience

* Bachelor's Degree and Five (5) years of administrative support and engagement with experience with the Board of Directors, and Senior Level executives.
