As an Executive Assistant, you will provide high-level administrative, legal, and operational support to the Chief Development Officer, ensuring seamless execution of daily priorities, strategic initiatives, and confidential matters. This role enhances executive efficiency through expert coordination, communication, and organizational oversight across both personal and business responsibilities.
Responsibilities
* Assist with both personal and business-related financial tasks, including tracking expenses, reconciling statements, preparing summary reports, and coordinating with accountants or financial institutions as needed.
* Demonstrate experience supporting C-suite executives by anticipating needs, managing competing priorities, coordinating across departments, and maintaining a high level of professionalism and discretion.
* Manage the CDO calendar, ensuring efficient scheduling of meetings, events, and appointments. Coordinate internal and external meetings, including agendas, meeting notes, and follow-ups.
* Arrange complex domestic and international travel itineraries, including flights, accommodations, ground transportation, and detailed travel briefs. Ensure all logistics are handled proactively and efficiently.
* Support the execution of strategic projects and initiatives by assisting with research, timelines, communication, and follow-ups. Track action items and ensure timely completion. Work with development team members to produce monthly reports.
* Draft and proofread internal and external communications, including emails, memos, presentations, and reports. Serve as a liaison between the CDO and internal or external stakeholders
* Handle all sensitive matters and confidential information with the utmost discretion and integrity.
* Demonstrate advanced proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and Teams. Effectively manage digital filing systems, develop reports and presentations, and maintain organized shared resources to support operational efficiency. Develop working knowledge of Deal Path and proactively explore opportunities to leverage artificial intelligence tools to enhance productivity and business processes.
Qualifications
* Minimum of 5 years of experience supporting C-suite or senior executives in a fast-paced, high-demand environment.
* Proven track record of managing executive calendars, travel, and confidential communications with minimal supervision.
* Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams, PowerPoint.
* Exceptional organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously.
* Strong written and verbal communication skills, with excellent grammar, proofreading, and formatting abilities.
* Ability to handle sensitive information with discretion and sound judgment.
* Bachelor's degree in Business Administration, Communications, Legal Studies, or a related field preferred.
