Position Title Receptionist and Office Assistant

Position SummaryThe Receptionist and Office Assistant serves as the primary point of contact for the Feik School of Pharmacy. Position provides office support to faculty, staff, and students. The Receptionist and Office Assistant reports to the Administrative Assistant to the Dean.

- Manage the front desk and provide appropriate direction to faculty, staff and students based on schedule of the day;
- Greet and monitor visitors;
- Answer telephone and route calls/messages to the proper department;
- Assist various departments by performing basic and varied clerical tasks which may include data entry, filing, and operating standard office machines and equipment;
- Maintain room reservations for students, faculty and staff;
- Maintain vacation and other shared calendars in MS Office and/or MS Excel;
- Perform other duties as assigned.
Skills and Abilities
- Must be organized and have strong attention to detail.
- Must have the ability to meet deadlines, prioritize responsibilities, and coordinate numerous projects simultaneously while dealing with interruptions from internal and external customers.
- Must maintain quality of openness to members of the FSOP.
- Must have a strong work ethic with the ability to work independently or as part of a team.
- Must have strong oral and written communication skills, as well as sound interpersonal skills.
- Must have the ability to work collaboratively and to share skills with team members.
- Customer service oriented with a friendly demeanor.
- Proficient in MS Word and Excel, to include general knowledge of formulas.
- Ability to operate photocopier or other standard electronic office machines.
- Perform routine alpha‑numeric filing tasks.
- Must maintain professionalism and adhere to a business professional dress code.
- Must have the ability to work effectively with individuals from diverse communities and cultures.
- Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.
High School Diploma or its equivalent.
Required Work ExperienceThree (3) years of office experience.
Preferred QualificationsThree (3) years of office experience in an academic setting.
Required Certifications, Licenses or RegistrationsMust have a valid driver’s license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.
Work HoursMonday through Friday 7am to 4pm with occasional extended hours as needed, especially in the planning and execution of special events, to meet departmental goals.
Physical Demands- Ability to lift up to 20lbs for table set‑up/tear‑down at events.
- Ability to reach overhead, climb step‑stools, bend, and squat to retrieve office/event materials.
- Ability to push/pull event carts holding up to 40 lbs.
