Job DescriptionTo handle all administrative duties as required by Executive Office, Human Resources and the General Manager. Supports the Executive Operating Committee, the General Manager, the Director of Human Resources, Director of Rooms and the Director of Food & Beverage.
Responsibilities- Assistant to the General Manager, Director of Human Resources, Director of Rooms and Director of Food & Beverage
- Supports the Executive Committee
- Extensive administrative duties and responsibilities; communication and distribution of daily, weekly and monthly reports and correspondence to corporate office
- Handles confidential material and information, daily distribution of mail, daily check deposit of accounts receivables
- Maintains the mail room
- Manages day‑to‑day guest relations and corporate guest relations, all external guest correspondence, and internal communications, including daily Medallia reports, ELMER, Synergy input and reports, guest alerts, and responding to review sites (Trip Advisor, Google, etc.)
- Maintains guest relations files and ensures that all information is included in file (guest correspondence, letters, fax, emails, information, guest folios, gift certificates, etc.)
- Maintains Gift Certificate Log (value, purpose, date issued, date redeemed)
- Uploads all necessary Service Scorecard backup monthly to the hub
- Coordinates all travel arrangements including reservations, transportation, amenities, and in‑house meetings and events for VIPs, corporate and ownership visits
- Creates and modifies reservations in Opera as directed by Executive Committee
- Sends amenities and welcome cards to VIPs and special guests as directed
- Maintains reader files for upcoming meetings, VIP guests, meetings and events, etc.
- Maintains hotel licenses, permits, contracts and certificates of insurance
- Involved in associate events and activities committees within the hotel
- Performs other duties as assigned by management
- Minimum of 2 years experience in an administrative role
- Hotel experience preferred
- Associate Degree
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Must be able to type a minimum of 40 words per minute
