Hallmark University is seeking a detail-oriented and collaborative Associate Registrar to support the daily operations of the Office of the Registrar. This role ensures the integrity, accuracy, and security of student academic records while managing registration processes, transfer credit evaluations, and compliance with institutional and regulatory standards. The Associate Registrar plays a key role in supporting student success through efficient record management and cross-departmental collaboration.

Key Responsibilities
  • Oversee daily operations of student records and registration processes for each 8-week term.
  • Maintain and audit course schedules, incorporating approved catalog updates.
  • Manage end-of-term processes including grade submissions, academic standing updates, and diploma preparation.
  • Conduct graduation audits, transfer credit evaluations, and program transfer requests.
  • Assist students with schedule changes, transcript requests, enrollment verifications, and portal navigation.
  • Ensure accurate maintenance of student records across internal systems.
  • Collaborate with Academic Advisors, Program Chairs, Deans, Financial Planning, and Admissions to address student status changes.
  • Prepare and distribute reports for academic leadership.
  • Additional duties as assigned.
Qualifications Required
  • Bachelor’s degree from an accredited institution or equivalent combination of education and experience.
  • Minimum of 2 years in higher education student services, records, or registration.
  • Experience with student information systems (e.g., Colleague, Canvas).
  • Strong attention to detail and time management skills.
Preferred
  • Experience with Power BI, SharePoint, and Parchment services.
  • Working knowledge of FERPA regulations and higher education records standards.
Skills & Competencies
  • Strong organizational and customer service skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite.
  • Effective communication and problem-solving skills.
