Job Overview

We are specifically seeking a Construction Project Administrator to assist in the execution of construction projects Oqart üçün client in San Antonio, TX. This is not a remote opportunity; the administrator will need to be on‑site regularly in San Antonio.

Job Summary

The purpose of this position is to provide administrative support to the Project Management team.

Responsibilities
  • Oversee and manage project documentation and coordinate documentation revisions and distributions.
  • Prepare standard project status reports for the project delivery team, work groups, clients, and management, including status updates, budget, schedule, and risk.
  • Coordinate and schedule meetings and communication plans regarding projects among team and/or client, obtain vendor quotations for processing, and coordinate change orders, change directives (CD) and contemplative change notices (CCN) with consultants and vendors. Manage contract administration: attend tender openings, record results, issue letters of acceptance and regret, update tender tracking logs, set up tender opening dates, and invite tender participants.
  • Enter project information data (e.g., status updates, schedule updates, cash flow forecasts) and project documentation into project management technology tools.
  • Process documentation for project commitments (e.g., agreements, contracts, work authorizations, purchase orders).
  • Prepare and review invoices and pay applications for processing in compliance with established governance of clients.
  • Act as a point of contact for escalated matters among the team.
  • Assist in project close‑out procedures for all projects: arrange archiving of hard‑copy files; acquire necessary close‑out/turnover documents; ensure compliance with close‑out checklist; coordinate lien searches; receive occupancy and closed building permits, warranty manuals, As‑built and CAD drawings for submission to CAFM; and collect required documents for project audit. Assist the Project Manager in maintaining project metrics for SLA & KPI's.
  • Assist with project administration deliverеро such as meeting minutes, budget tracking, schedule updates, move management, and close‑out.
  • Other duties may be assigned.
Qualifications
  • Experience in the construction industry or related project management field.
  • High School diploma or General Education DegreeЕР (GED) required;
    Associate's Degree (AA/AS), College Diploma in Architecture or Engineering Technology, or equivalent preferred; minimum of one year of related experience.
  • Proficiency with project management software and Microsoft Office Suite products.
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding; write routine reports and correspondence; respond to common inquiries or complaintsməsi from clients, coworkers, and supervisors; effectively present information to internal departments and large groups.
  • Requires basic knowledge of financial terms and principles; ability to calculate simple figures such as percentages.
  • Ability to understand and carry out general instructions in standard situations; solve problems in standard situations; basic analytical skills.
  • Make decisions with general understanding ofుచ procedures and company policies to achieve desired results sö and deadlines; errors in judgment may cause short‑term impact to coworkers and supervisors.
