Work Hours: 8:30 a.m. – 5:00 p.m.
Workdays: Monday – Friday (weekends/evenings as needed)

Summary: The first point of contact for most clients at Grace Counseling, primary person for outreach efforts and coordinating interns (screening, scheduling, onboarding, and training).
Position Responsibilities- Perform front desk receptionist duties: serve as primary point of contact for visitors and clients, monitor campus access, answer phones.
- Assist with front desk duties at Grace Counseling: greet visitors, schedule clients, process payments, answer phones.
- Administer the EHR/Charity Tracker/Give PULSE system, input client and provider data, schedule services.
- Coordinate outreach activities: recruit volunteers, prepare materials for shows, and other assigned duties.
- Scan medical records and serve as primary contact for record requests.
- Collect demographics and statistics for Charity Tracker reports, grant proposals, and PQI reporting.
- Act as backup to the Office Administrator for credentialing interns and staff; maximize billing potential.
- Assist staff and interns with case‑note entry and conversion into billable units.
- Complete professional development training in a timely manner.
- Demonstrate sensitivity to the service population’s cultural and socioeconomic characteristics.
- Adhere to daily safety training and protocols; protect the confidentiality of client and organizational information.

- Promote a solution‑oriented, collaborative team approach in line with the organization’s mission and vision.

- Education: High school diploma
- Experience: Minimum 3 years in customer service; preferred Medical Billing experience with a background in Behavioral Health Billing or CPT coding (training provided)
- License and Credentials: Reliable transportation, valid driver’s license, clean driving record, valid vehicle insurance, medical billing certification preferred
- Minimum Knowledge and
Skills:
1 year of customer service and office administrative tasks; working knowledge of billing practices, accounting reports, and insurance claims; proficiency with computer software and multi‑line phones (Microsoft Office, Advance
MD/EHR software preferred); grasp of HIPAA standards and Mental Health compliance (obtainable within 3 months of hire); detail‑oriented, organized, self‑motivated, strong written, verbal, critical thinking, and problem‑solving skills
