Accounting Specialist

We are seeking an Accounting Specialist / Project Accountant who can take ownership of day-to-day accounting operations, with a strong focus on project accounting, billing, AR/AP, and financial reporting
. This is a newly created role, reporting directly to firm leadership, with the opportunity to build and refine accounting processes as the firm continues to grow.

This is not an entry-level role — we’re looking for someone who understands how accounting supports a project-based professional services firm and who can operate with independence and accuracy.

• Manage billing cycles for multiple active projects
• Prepare billing sheets and client invoices
• Ensure timely invoice delivery and client follow-up
• Track earned labor, reimbursables, and project performance
• Code and reconcile project expenses
• Maintain AR aging and lead collections communications
• Apply payments and maintain accurate revenue records

• Receive, review, and process vendor invoices
• Maintain organized and accurate AP records

• Reconcile bank and credit card statements
• Research and resolve discrepancies
• Support month-end close
• Prepare financial and project-level reporting for leadership
• Maintain well-organized, audit-ready financial documentation
• Coordinate with external CPA/tax preparer as needed

• Billing is accurate, consistent, and timely
• AR is clean, current, and proactively managed
• AP is predictable and well-organized
• Project financials are reliable and easy to interpret
• Leadership gets clear, consistent financial insight
• You become the firm’s go-to owner of accounting operations

• 5–8 years of experience in accounting
• Familiarity with project-based accounting structures
• Excellent organizational and communication skills
• Ability to work independently and manage evolving priorities

• Project billing
• Accounts receivable & collections
• Accounts payable

• Experience in an AEC or professional services firm
• Proficiency with Deltek Ajera or similar project accounting tools

The expected base salary range for this role is $65,000 – $80,000 annually
, based on experience and qualifications:

• $65k–$70k
  : strong accounting fundamentals; learning curve expected for AEC
• $70k–$75k
  : solid project billing + AR/AP experience; limited supervision needed
• $75k–$80k
  :
  Ajera + AEC background; capable of “day one” ownership
