We are currently hiring a full-time Accounting Specialist to work in our corporate office located in the Shavano Park area of San Antonio. The Accounting Specialist is responsible for the accurate and timely processing of all accounts payable and payroll functions. This includes verifying and coding invoices, managing vendor relationships, and ensuring all employees are paid accurately and in compliance with labor laws.

Position is full-time, Monday - Friday, 8:00am - 5:00pm. Competitive compensation and benefits package including health insurance, vision, dental, generous PTO, and more!

Responsibilities
  • Accounts Payable & Expenses
    • Pay the Bills:
      Verify, enter, and pay vendor invoices on time; handle annual 1099/1096 tax forms.
    • Manage Credit Cards & Expenses:
      Reconcile monthly staff credit card statements and process employee reimbursements (like mileage or Per Diem).
    • Customer Billing:
      Handle monthly patient dues, post payments for visits, and answer any billing questions.
  • Payroll & Benefits
    • Process Payroll:
      Calculate and run accurate payroll for all states, including overtime, bonuses, deductions, and manual checks when needed.
    • Time Tracking:
      Review employee and contractor timecards to ensure hours are correct before payment.
    • Tax & Compliance:
      Set up new state tax accounts, pay payroll taxes, and file quarterly/annual reports (like W-2s and 941s).
    • Benefits Oversight:
      Reconcile insurance bills against payroll deductions and coordinate with HR on leave-of-absence pay.
  • Reporting & Audits
    • Balance Accounts:
      Reconcile bank accounts, inventory, and monthly expense spreadsheets to keep books accurate.
    • Support Audits:
      Provide data for workers' compensation audits, financial audits, and perform internal spot-checks on employee profiles.
    • Reporting:
      Create accrual and expense reports for management and respond to any tax agency notices.
  • Process & Team Support
    • Collaboration:

      Work closely with HR and Accounting to improve payroll policies and procedures.
    • Training:
      Maintain clear documentation and train a backup person for your role.
