Accounting Specialist (On‑Site)

Position Overview

The Accounting Specialist will be responsible for posting and applying payments and credits, invoicing customers, and ensuring timely collections. This role also manages customer/vendor inquiries, disputes of customer deductions and claims, and investigates account discrepancies.

What You’ll Do
  • Process payments and reconcile bank accounts to ensure accurate daily reporting.
  • Record intercompany transactions related to funds transfers and payments.
  • Manage accounts receivable and payable activities, including invoicing, refunds, credit card payments, payments, and collections.
  • Monitor aging reports, follow up on outstanding balances, and report on status.
  • Enter credit memos, including product returns, accurately and in a timely manner.
  • Maintain records of all dispute‑related activities.
  • Research and resolve account discrepancies, claims, and reconciliation issues.
  • Perform checks with credit references for new customers.
  • Respond to customer/vendor calls and emails.
  • Maintain organized documentation to support audits, pulling remittance information and other backup from email inbox, bank, and/or customer portals.
  • Ensure accurate customer orders and vendor bills.
  • Assist other departments and positions with information requests.
  • Review accounts exceeding credit limit.
  • Ensure accuracy of bills received and process in financial systems.
  • Print checks and maintain organized records of payments.
  • Send wires and ACH batches as necessary.
  • Manage petty cash activities, assist in month end activities, and other tasks as needed.
What We’re Looking For
  • Proven experience in an Accounts Receivable and/or Accounts Payable role OR Bachelor’s degree in a quantitative field.
  • Ability to work independently, manage priorities, and meet deadlines.
  • Proficiency in Microsoft Office, including Excel, Outlook, and Word.
  • Use Excel functions, such as SUMIF, VLOOKUP or XLOOKUP, simple formatting changes such as filtering, switching between page orientations, highlighting, and setting page width, and copy/pasting.
  • Detail‑oriented, with a high level of accuracy and organization.
  • Analytical thinking and problem‑solving skills.
  • Strong team player with the ability to work with internal teams.
  • Excellent written and verbal communication skills.
  • ERP experience preferred.
  • Experience working with multiple branches/companies preferred.
