SUMMARY

The Accounts Payable Accountant is responsible for managing the accounts payable process, ensuring timely and accurate processing of invoices, managing vendor relationships, and maintaining accurate financial records. The ideal candidate will possess strong attention to detail, excellent communication and interpersonal skills, and a solid understanding of accounting and financial principles.

DUTIES AND RESPONSIBILITIES
  • Process, review, and code vendor invoices in accordance with company policies and proper accounting treatment.
  • Reconcile vendor statements and promptly investigate and resolve discrepancies.
  • Prepare and execute payment runs (ACH, wire, check), ensuring accuracy, timeliness, and adherence to approval controls.
  • Optimize cash flow by scheduling payments appropriately and capturing early payment discounts when available.
  • Maintain and update vendor master data; ensure proper W9 documentation and 1099 compliance.
  • Prepare AP related journal entries, accruals, and reconciliations to support accurate month end and year end close.
  • Assist with AP aging analysis and support cash forecasting activities.
  • Support internal controls, audit requests, and compliance requirements related to accounts payable.
  • Participate in the implementation and optimization of AP automation tools and contribute to continuous process improvement.
  • Serve as a point of contact for vendor inquiries and internal stakeholders regarding invoice and payment matters.
SUPERVISORY RESPONSIBILITIES
  • This job has no supervisory responsibilities.
QUALIFICATIONS
  • Proficiency with accounting software (e.g., Quick Books, Deskera, or comparable ERP systems).
  • Strong working knowledge of accounts payable, accounts receivable, and general ledger accounting.
  • Demonstrated attention to detail and accuracy, with the ability to identify and resolve discrepancies.
  • Strong written and verbal communication skills, with the ability to interact effectively with vendors and internal stakeholders.
  • Ability to work independently while also contributing effectively as part of a collaborative team.
  • Solid understanding of GAAP (Generally Accepted Accounting Principles).
  • Familiarity with tax laws and regulatory requirements impacting accounting and reporting (e.g., sales tax, 1099 reporting) preferred.
  • Experience supporting month‑end and year‑end close processes
