Overview
The SJ Quinney College of Law Conference & Events department's mission is to ensure our in-person, hybrid, and virtual meetings and events run smoothly, look amazing, and exceed the goals that are set for each event. The right candidate will assist with planning, implementation, and overseeing all needed arrangements, including supervision of staff, for special events in assigned departments and venues.
Interface with all necessary departments, supervise and facilitate events, resolve conflicts, assign needed space, build community and foster good relationships.
- Direct/Manage/Supervise on-site and/or virtual marketing events such as customer seminars, full-scale conferences, virtual conferences, trade shows, webinars/webcasts, and other events.
- Oversee event planning and logistics, ensuring the successful execution of event programs.
- Determine event budgets and conduct research to identify new event opportunities for the organization based on potential attendees, speaking opportunities, and other factors.
- Assess current software and tools and provide recommendations for features/enhancements for future consideration and implementation to achieve goals related to virtual events.
- Develop event marketing strategies and communication plans to ensure positive results and ensure strategy is consistent.
- Oversee the development of processes for repeatability and scalability of events.
- Oversee the negotiation of contracts with conference sites, hotels, and outside vendors.
- Review post-event analyses, budget recaps, and feedback, and incorporate into future event plans.
- Coordinate and lead daily team activities. May spend a portion of time performing the work of those they supervise.
- Assist with management decisions and activities.
- Work with the knowledge of team function within the organization.
Equivalency Statement: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).
Supervisor, Event Planning Management: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master’s (or equivalency) degree.
PreferencesDemonstrated leadership skills, critical thinking, problem solving, and decision making skills are essential to the position. Ability to oversee multiple projects/events and work assignments for a variety of staff, volunteers, and subcontractors. A lifelong learner with a positive attitude who collaborates well with others. Familiarity with event technology—webinars, virtual meetings, webinar platforms, and audio-visual equipment. The candidate must be available to work varying days and shifts, including night and weekend shifts.
