Volunteers of America, Utah (VOA Utah) is part of a national, nonprofit, faith‑based human services organization that provides community‑supported paths for those who are vulnerable to improve their lives and increase their self‑reliance. VOA Utah encourages individuals with lived experience to apply. Assertive Community Treatment (ACT) is a consumer‑centered, recovery‑oriented mental health service delivery model that facilitates community living, psychosocial rehabilitation, and recovery for persons with severe mental illnesses.
The ACT team includes about ten staff members, including therapists, peer support specialists, case managers, vocational specialists, RN and APRN.
Under the supervision of the Division Director of Intensive Behavioral Services, the Program/Medical Assistant organizes, coordinates, and monitors all nonclinical operations of the ACT team while also performing receptionist activities, triaging calls, facilitating communication between the team and clients, deescalating situations, and providing assistance to clients, families, and other agencies. The role also provides backup medical‑assistant duties such as lab draws, injections, and client sit‑ins post‑injection.
EssentialDuties
- Greet visitors and answer phone calls.
- Triage and coordinate communication between ACT team members, clients, other agencies, and hospitals.
- Obtain and provide answers to client, family, and community resource questions.
- Relieve and temporarily manage urgent situations until additional staff are available.
- De‑escalate or attend to symptomatic behavior of clients who come to the office.
- Decide when and how quickly to refer calls to other staff.
- Provide general administrative and clerical support: schedule appointments, add new clients to the EHR, track bus passes, monitor monthly and weekly notes, enter and track SOQs, conduct monthly Medicaid checks.
- Maintain professional boundaries and client confidentiality at all times.
- Meet ACT documentation requirements.
- Attend work on a regular and predictable basis.
- Work must be performed on‑site due to the need to provide direct client care and team support.
- Facilitate medication refills and deliver medications to clients’ homes.
- Coordinate care with internal and external providers at admission, discharge, and level‑of‑care changes; make referrals to PCPs when needed.
- Perform medical‑assistant duties such as lab draws, injections, and client sit‑ins post‑injection.
- Maintain records, completing all documentation and billing in a timely manner and in compliance with professional standards.
- Perform other functions as necessary or assigned.

Qualifications- High school diploma or equivalent and 2 years of social‑services or homelessness‑related experience (or any combination of education, experience, and training that provides the following knowledge, skills, and abilities).
- Successful completion of an Accredited Medical Assistant program.
- Office experience and knowledge of a multi‑phone‑line system.
- Effective written and verbal communication skills.
- Experience in a mental health setting preferred.
- Computer literate with intermediate Microsoft Office skills.
- Ability to uphold professional boundaries, confidentiality regulations, agency policies, and procedures, and to interact professionally with a diverse workforce and clients.
- Willingness to accept supervision and direction.
- CPR and First Aid certification (to be obtained).
- Minimum 21 years of age, valid driver’s license, good driving record, and insurable on agency liability policy.
- Must pass Utah‑DHS – Office of Licensing background screening and pre‑employment drug screen.
- Ability to lift and carry up to 25 lbs.
- Ability to walk up and down stairs.
- Ability to move around the facility and interact with clients for extended periods.
- Work is generally performed in an office environment; prolonged computer use is required.
