Overview
We are seeking an experienced
1031 Exchange Facilitator / Qualified Intermediary (QI) to manage and coordinate like-kind exchanges from start to finish. This role is ideal for a detail-oriented professional who understands IRS 1031 regulations, thrives in a fast-paced transaction environment, and can confidently guide clients and partners through the exchange process.
The right candidate will have a strong operational foundation, excellent communication skills, and the ability to manage multiple exchanges simultaneously while ensuring full compliance and exceptional client service.
Responsibilities- Manage a pipeline of 1031 exchanges from initiation through completion, including forward exchanges and related documentation.
- Coordinate with clients, closing agents, attorneys, real estate professionals, and internal teams to ensure timelines and requirements are met.
- Track and monitor critical deadlines including the 45-day identification period and 180-day exchange period.
- Collect, review, and organize required documentation to ensure complete and compliant exchange files.
- Serve as the primary point of contact for exchange clients and transaction partners.
- Provide clear, professional guidance regarding exchange steps, required forms, and procedural requirements.
- Maintain timely communication throughout the transaction lifecycle to ensure a smooth experience.
- Prepare and manage exchange agreements, assignment documents, notices, identification letters, and closing-related paperwork.
- Maintain detailed tracking logs, exchange status updates, and client records in internal systems.
- Identify workflow improvements to enhance efficiency, reduce risk, and improve the client experience.
Minimum Qualifications
- Certified Exchange Specialist (CES) designation (required)
- 3+ years of experience in 1031 exchanges, qualified intermediary services, or direct exchange facilitation
- Strong working knowledge of 1031 exchange rules, timelines, and standard documentation
- Experience coordinating with escrow, title, attorneys, and real estate professionals
- Excellent written and verbal communication skills
- Strong attention to detail and ability to manage multiple files simultaneously
- High integrity and ability to handle sensitive financial and client information
Preferred Qualifications
- 5+ years of 1031 exchange/QI experience
- Experience with high transaction volume and managing complex pipelines
- Familiarity with exchange tracking systems, CRM tools, and digital file management
- Experience supporting more complex exchanges (reverse, improvement, build-to-suit) is a plus
