Overview
Job Summary The Department of Pathology has an immediate opening for an Office Administrator to coordinate aspects of the daily office environment, and to provide primary support for a collaborative initiative called the Mountain West Microbiome Alliance, or MoWMA.
The Office Administrator will perform responsibilities including office maintenance, ordering office supplies, and processing financial transactions. The position coordinates office equipment maintenance and initiates facility repair requests with building management and/or outside vendors. Working closely with department faculty, the role supports engagement initiatives including planning and logistics of special events. The position also coordinates and schedules internal/external meetings and conference/video calls on behalf of leaders, and may perform other duties including accounting support, reception, facilities access, maintenance, supply management, and various back office functions.
This position plays a key role in driving the MoWMA initiative between the University of Utah and partner universities. As the primary support for the program, you will help bring faculty together by coordinating monthly seminars, annual offsite meetings, and specialized training events. You will manage weekly video collaboration sessions and provide essential logistical and administrative support to ensure smooth operations.

Responsibilities- Process financial transactions.
- Support Faculty in the Clinical Pathology Division.
- Support Research Faculty in a collaborative initiative.
- Plan and coordinate special events.
- Serve as the primary support for a collaborative initiative between the University of Utah and partner universities.
- Coordinate and manage monthly seminars, annual offsite collaboration meetings, and occasional training events.
- Organize and facilitate weekly video collaboration sessions.
- Provide comprehensive logistical and administrative support for all initiative-related activities.

Minimum QualificationsEQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Office Administrator, II: Requires a bachelor’s (or equivalency) + 4 years or a master’s (or equivalency) + 2 years of directly related work experience.
Office Administrator, III: Requires a bachelor’s (or equivalency) + 6 years or a master’s (or equivalency) + 4 years of directly related work experience.
Office Administrator, IV: Requires a bachelor’s (or equivalency) + 8 years or a master’s (or equivalency) + 6 years of directly related work experience.
Preferences- Knowledge of University of Utah financial systems.
- Experience in Event Coordination.
- Strong organizational skills to manage multiple activities and deadlines.
- Excellent written and verbal communication for interacting with faculty and partner institutions.
- Comfortable with video conferencing platforms (e.g., Zoom, Teams) and basic office software (Word, Excel, PowerPoint).
- Ability to anticipate needs and resolve logistical challenges quickly.
- Skilled at working with teams across institutions.
- Familiarity with academic environments and faculty support.
- Ensures accuracy in scheduling, documentation, and event logistics.
- Can handle changing priorities and occasional travel for offsite meetings.
- Professional and responsive in supporting faculty and stakeholders.
Interview process includes brief Reading Comprehension and Excel Skills tests.
