Overview
Project Administrator – SLC, UT (Transportation)
We are seeking a hardworking, experienced professional to serve as a Project Administrator with RAM Enterprise, Inc. This position supports RAM operational teams and senior leadership throughout the Mountain West Region, providing high-level administrative, project, and cost-control support. This is an hourly, non-exempt position reporting directly to the Mountain West Regional Director and working closely with the Operations Manager.

- Provide high-level executive and administrative support to operational teams and senior management.
- Effectively manage and track multiple projects including scheduling, manpower needs, timecard management, project costing, billing, change order management, and project close-out.
- Attend and participate in project kick-offs, customer reviews, scheduling meetings, and project close-outs.
- Prepare billing workups with NOC and submit to Accounting for billing.
- Track project costs and change order requests.
- Coordinate project completions with AR, AP, Purchasing, and field teams.
- Obtain vendor quotes and assist the Purchasing Department with material requisitions.
- Maintain purchase orders including editing, revising, receiving delivery documentation, direct bill hotel POs, and closing POs at job completion.
- Reserve and manage lodging reservations in support of job activities.
- Oversee materials, purchasing, and ensure items are ordered prior to project needs.
- Maintain organized project documentation including permits, job progress photos, and document control.
- Ensure T&M approvals are signed prior to job costing.
- Maintain confidentiality of all client, staff, and company information.
- Respond to customer inquiries in a professional, timely, and effective manner.
- Communicate job status, priorities, and current needs to customers and internal teams.
- Review, submit, and audit daily timecards with accurate cost codes, expenses, and descriptive diary entries.
- Enter credit card charges and invoices into project costing sheets.
- Ensure equipment, materials, and expenses are tracked to the correct job codes.
- Delegate timecard and administrative review responsibilities when on PTO.
- Provide leadership by promoting accountability, professionalism, and positive team engagement.
- Lead, train, and mentor administrative staff or support personnel as applicable.
- Continually evaluate, develop, and implement administrative procedures, workflows, and best practices to improve efficiency.
- Ensure compliance with company policies, legal requirements, and industry standards.
- Support various departments and remote facilities as needed.
- Perform other duties as assigned by leadership.
- Possess a valid drivers license.
- Professional-level verbal and written communication skills with the ability to read, write, and understand English.
- Minimum 12 years of experience in mining construction or a similar industry.
- Excellent computer skills including Excel and Microsoft Office.
- Knowledge of Track software preferred.
- Strong organizational, multitasking, and problem-solving abilities.
- Excellent attention to detail, including documentation and confidential information handling.
- Ability to work in a fast-paced, dynamic environment while prioritizing tasks and meeting deadlines.
- Ability to work independently with minimal supervision and collaboratively as part of a team.
- Ability to operate standard office equipment including computers, printers, phones, calculators, and copiers.
- Ability to comply with all policies and procedures outlined in the Employee Handbook.
Work may require occasional weekend and/or evening hours.
Regular office environment expectations:
- Sitting at least 80%
- Standing, walking, and bending at least 10%
Majority of work will be on mine-site / jobsite. The following industrial environment expectations apply:
- Minimal exposure to hazards typical of an industrial job site
- Required use of personal protective equipment including hard hats, hearing protection, safety glasses, safety footwear, and as needed respirators, gloves, and other required PPE
