A globally recognized financial services organization is seeking a highly professional Administrative Assistant to support fast-paced teams in a collaborative, high-standards environment. This contract role is ideal for a detail-oriented administrative professional who thrives on organization, discretion, and supporting senior leaders while managing multiple priorities with confidence.

Hours & Pay
  • Pay Rate: $29.00 per hour
  • Contract Duration: 6 months
What You'll Do
  • Provide administrative support in a team-oriented environment, offering flexibility to support multiple teams as needed.
  • Coordinate domestic and international travel arrangements and process a high volume of expense reports and invoices accurately and compliantly.
  • Arrange internal and client meetings both on and off campus, including booking conference rooms, coordinating catering, registering guests, and organizing materials.
  • Manage complex calendars across multiple time zones, prioritizing meeting requests and coordinating phone and video conference calls.
  • Perform general administrative tasks such as invoice submissions, time entry, copying, scanning, filing, mailing, archiving, and ad hoc project support.
  • Answer incoming phone calls and take detailed, accurate messages while interacting professionally with senior business leaders and clients.
  • Handle highly confidential and sensitive client information with the utmost discretion.
  • Act as an integral member of the administrative support team, maintaining awareness of current priorities and support needs.
  • Adhere to compliance regulations and obtain required approvals as necessary.
What You Bring
  • Excellent judgment and discretion when handling confidential and highly sensitive information.
  • Strong interpersonal skills with the ability to collaborate effectively with assistant teams locally and globally.
  • Ability to remain calm under pressure while managing multiple tasks in a fast-paced environment.
  • Exceptional written and verbal communication skills with a consistently professional presence.
  • Provides remote support to executives and team members across multiple locations.
  • Strong organizational skills and extreme attention to detail, with the ability to prioritize effectively.
  • Self-starter mentality with strong anticipation and follow-up skills.
  • Proactive problem-solving abilities and independent thinking.
  • High degree of integrity, professionalism, and diplomacy.
  • Proficiency in MS Word, Excel, PowerPoint, Outlook, and Zoom.
  • Familiarity with expense platforms such as SAP Concur.
  • Positive attitude and a supportive, team-focused approach.
