Position Overview

GCG is seeking a highly experienced Executive Administrative Assistant to provide direct, daily support to the CEO and his leadership team. This is a high-visibility, trusted partner role requiring the highest level of professionalism, discretion, and adaptability to effectively manage a dynamic and high-profile environment. This person will work to deliver seamless administrative, logistical, and operational support, ensuring the executive's efficiency and effectiveness across a wide array of engagements with clients, and other key stakeholders.

The ideal candidate is proactive, anticipates needs before they arise, operates with minimal direction, and thrives in a fast-paced setting.

Location

This role is based in the greater Salt Lake City, Utah area (Park City, Sandy, SLC) with the expectation to work in an office environment up to 4 days per week. The ability to work virtually when needed and the flexibility to provide overtime support (either for an event or travel assistance) is required.

Reporting
  • This role will directly report to the GCG Chief of Staff, while also responding to direct requests from the CEO
Job Duties / Responsibilities Executive & International Travel Management
  • Independently plan and execute intricate international and domestic travel arrangements, including flights, accommodations, visas, ground transportation, and security protocols
  • Prepare and distribute detailed daily itineraries and briefing materials for travel
  • Proactively plan and anticipate executive needs, resolving conflicts before they occur
  • Ability to move quickly and manage last‑minute changes and shifting priorities
  • Ensure a seamless, high‑quality travel experience
  • Demonstrate a proactive mindset to ensure best‑in‑class executive travel support
Local Office Support
  • Proactively manage and optimize the executive's complex and dynamic calendar, strategically prioritizing engagements and ensuring seamless coordination across multiple time zones with senior leaders in government, finance, and other sectors
  • Coordinate scheduling across internal leadership, external stakeholders and global time zones
  • Manage meeting logistics, including conference rooms, virtual links and catering
  • Performs office management tasks including maintaining records, ordering supplies, scheduling support service vendors, guest registration, communication with the building management when required
  • Maintain flexibility to work outside hours if needed for an event or travel support
Skilled Microsoft Office Capabilities
  • Assist executives with Word, Excel and Power Point
  • Using Word and Excel, performs administrative and analytical tasks including drafting letters, memos, reports, spreadsheets and analysis
  • Using PowerPoint, assist in presentation preparation and other documents that may be needed to prepare for meetings
  • Provide basic IT applications support to executives on site or refer to IT help desk for assistance
Other Duties
  • Perform basic financial record‑keeping including recording expenses, reviewing invoices, and processing for approval
  • Maintains detailed and accurate records and files. Organize and maintain hard copy and electronic filing systems. Manage centralized document sharing systems and access
  • Liaise with external IT help desk and technical support to ensure all office systems are secure and operational, including printers and copiers
Qualifications
  • 5+ years of experience providing support to executive leaders in a fast‑paced, high‑performance environment
