About the Role
We are seeking a reliable and detail-oriented Terminal Admin Asst to support daily administrative and operational activities at our bulk storage terminal specializing in corn-based sweeteners and granulated sugar. This position combines inventory management, rail coordination, office support, and compliance tasks to ensure smooth terminal operations, accurate record-keeping, and timely fulfillment of customer needs. The ideal candidate thrives in a hands‑on environment, maintains high accuracy, and contributes to a safe, efficient team.
Key Responsibilities- Maintain and reconcile monthly inventory of corn-based sweeteners in bulk storage tanks and granulated sugar, ensuring accurate records and discrepancy resolution.
- Prepare and distribute regular reports to Management, Quality Assurance, and Corporate Accounting teams.
- Enter purchase requisitions and create purchase orders as needed or upon request for goods and services.
- Monitor and track essential supplies required for terminal operations to proactively prevent shortages.
- Answer landline phone calls and greet/respond to visitors at the door as needed.
- Maintain various logs for security and compliance.
- Schedule miscellaneous services.
- Prepare and transmit/ship product samples monthly and water samples quarterly to designated labs or recipients.
- Perform daily online rail switching activities for the terminal, coordinating product receipt in railcars and movement of empty railcars out.
- Process incoming and outgoing mail.
- Generate weekly product orders for the terminal, determining railcar requirements to fulfill customer orders.
- Manage records in accordance with company storage guidelines; box, label, and organize documents for retention or archiving.
- Actively participate in required safety trainings, including CPR certification and annual refreshers.
- Collect, send in driver paperwork daily, and maintain a simple spreadsheet to reconcile with the payroll team.
- High school diploma or equivalent (associate’s degree in business, supply chain, or related field preferred).
- 1–3 years of experience in administrative support, inventory management, logistics, terminal/warehouse operations, or a similar role.
- Strong attention to detail and accuracy in record‑keeping and reconciliations.
- Proficiency with basic office software (Microsoft Excel for spreadsheets, Word, email); ability to learn internal systems quickly.
- Ability to perform physical tasks as needed, including outdoor work in various weather conditions for rail switching and sample handling.
- Valid driver’s license and ability to pass background checks (if required for rail/terminal access).
- Experience in food ingredients, bulk storage (liquids/solids), rail operations, or supply chain environments.
- Familiarity with inventory reconciliation, purchase requisitions, or shipping/sample processes.
- Basic knowledge of safety protocols in industrial/terminal settings.
- Attention to detail– Critical for accurate inventory, reporting, and compliance.
- Self‑starter– Able to work independently with minimal supervision while prioritizing tasks.
- Dependable – Consistent reliability in daily responsibilities and deadlines.
- Communication skills – Clear verbal and written communication for phone, visitors, reports, and team coordination.
- Team player – Collaborative attitude to support operations, management, and cross‑functional groups.

Base pay offered may vary depending on multiple individualized factors, including market location, job‑related knowledge, skills, and experience. Hourly and salaried non‑exempt employees will also be paid overtime pay when working qualifying overtime hours.
The pay range for this position is expected to be between: $34,900.00 - $65,500.00
